What are the responsibilities and job description for the Office Operations Manager position at Northwest Registered Agent?
Northwest Registered Agent is looking for a Hub Manager to launch and lead our brand-new hub in Birmingham, Alabama, located at 2121 1st Ave N Birmingham, AL 35203. This is a full-time, Monday-Friday, in-office position with a unique opportunity to help establish a new office, build a strong team culture, and play a key role in its long-term success.
This is a hands-on leadership role managing a small, dynamic office. You'll report to a Regional Hub Director and collaborate closely with other Hub Managers and internal departments to support your team and serve clients. As the founding Hub Manager for this location, you'll help establish day-to-day operations, onboard and develop new team members, and shape the culture and execution of the office. You'll learn every function in the office, coach employees, solve problems, and help your team succeed. You'll have the opportunity to make decisions that shape your office while implementing established company processes, adapting to business needs, and partnering closely with leadership to ensure consistent execution. We're seeking self-motivated leaders who can wear multiple hats, demonstrate patience and adaptability, stay excited about change, and genuinely care about developing people while driving operational excellence.
At Northwest Registered Agent, we believe in hiring good people and giving them the autonomy they need to succeed. We are looking for leaders who approach their work as if it were their own business. We trust our managers to make decisions, remove obstacles, support their teams, and interact with clients and employees in a genuine and personable manner. We operate with autonomy and expect you to make good decisions even when there isn't a clear policy. If it's the right thing for the client or your team, we want you to do it.
Your story matters to us! We love to see a cover letter; tell us about your leadership approach, experience, and what excites you about this opportunity.
What You'll Do
Every day is different. You'll balance leading your team, managing daily operations, and coaching employees as priorities shift throughout the week. Here's what a typical week includes:
- Establish your office – Help set up systems, processes, and physical workspace as the office launches. You'll work within established company frameworks while adapting to your location's unique needs. Partner with remote support and internal teams to build the foundation of day-to-day operations, onboard your growing team, and shape the culture and execution of this new hub.
- Lead and develop your team – Hire, train, and coach employees to build a strong, accountable, collaborative culture. Create an environment where team members feel supported, challenged, and connected.
- Master the work – Learn every role in the office: filings, mail processing, Service of Process, compliance services, and client support. Serve as the subject matter expert and escalation point.
- Own daily operations and performance – Monitor productivity, quality, and client experience. Analyze trends and identify opportunities to improve efficiency and outcomes.
- Drive improvement – Audit processes, solve problems, remove obstacles, and implement changes that strengthen operations.
- Navigate change confidently – We build and update our own systems frequently. You'll stay comfortable with new technologies and tools, learn them quickly, and help your team adapt and stay productive through transitions.
- Build external relationships – Develop connections with Secretary of State offices, local agencies, business organizations, and community stakeholders. Represent the company as a trusted local resource.
- Stay current on regulations and company offerings – Learn filing requirements, compliance services, registered agent services, and keep your team informed.
