Job Title: Administrative Assistant / Medicaid Billing Specialist (Part-time)
Reports To: Early Childhood SPED Coordinator
SUMMARY: The Administrative Assistant / Medicaid Billing Specialist provides administrative, clerical, and Medicaid billing support for the Early Childhood Special Education Program. This position is responsible for maintaining accurate student and billing records, processing Medicaid documentation and claims, and supporting the efficient daily operation of the program.
The successful candidate will demonstrate strong organizational skills, attention to detail, confidentiality, accuracy, and the ability to manage multiple responsibilities while working with special education staff, families, school districts, and community agencies.
Essential Duties and Responsibilities
Administrative Support
- Provide administrative and clerical support to the Early Childhood Coordinator and program staff.
- Maintain accurate student records, files, forms, and documentation in accordance with program requirements.
- Assist with enrollment, student records, service documentation, and other program paperwork.
- Enter and maintain information in electronic databases and student information systems.
- Assist staff with preparing, organizing, scanning, filing, and submitting required documents.
- Monitor paperwork for completeness, accuracy, and required signatures.
- Prepare correspondence, reports, spreadsheets, forms, and other program documents.
- Respond to telephone calls, emails, and requests from parents, staff, school districts, and community partners in a professional and timely manner.
Medicaid Billing Responsibilities
- Process and maintain Medicaid billing documentation for eligible special education services.
- Review service documentation to ensure required information is complete and accurate prior to billing.
- Enter Medicaid service information accurately and in a timely manner.
- Submit Medicaid claims and monitor claims for payment, rejection, or denial.
- Research and resolve billing errors, rejected claims, and documentation issues.
- Maintain records of submitted claims, payments, denials, and outstanding billing.
- Communicate with staff regarding missing or incomplete service documentation needed for Medicaid billing.
- Track Medicaid billing activity and assist with reconciliation of payments and outstanding claims.
- Maintain documentation necessary to support Medicaid audits and program compliance.
- Follow current Arkansas Medicaid requirements, billing procedures, and applicable school-based service requirements.
- Maintain confidentiality of student, family, medical, and financial information.
- Assist with Medicaid reporting and provide billing information to the Early Childhood Coordinator and other authorized personnel.
