The Enrollment Specialist (Admissions) at NWACC Washington County is responsible for accurately reviewing, verifying, and processing college credit admissions documents in accordance with institutional policies and state and federal regulations. This position plays a vital operational role in the admissions process in the admissions process by ensuring student records are complete, accurate, and processed in a timely manner. The Enrollment Specialist works as part of a collaborative, cross-trained Enrollment Services team, sharing knowledge, supporting team priorities, and adapting to changing policies, procedures, and enrollment cycles while maintaining a high level of accuracy and consistency. Although the position provides customer service and collaborates with other departments, the primary focus is administrative processing, document review, and supporting students through the admissions process by ensuring their records are accurately maintained. This position is housed at NWACC Washington County, reports to the Director of Admissions, and is governed by state and federal laws and agency/institutional policy.

Essential Duties

  • Reviews, verifies, evaluates, and processes admissions documents, transcripts, high school equivalency credentials, and supporting documentation in accordance with institutional policies, procedures, and applicable state and federal regulations
  • Performs high-volume document review, data entry, indexing, retention, and student record maintenance in college systems while ensuring accuracy, confidentiality, consistency, and FERPA compliance
  • Determines completion of admission requirements by consistently applying admissions policies, enrollment requirements, document intake standards, and related procedures to individual student records
  • Provides timely and professional customer service by responding to admissions-related inquiries, resolving routine processing issues, and communicating through established college channels
  • Collaborates with Admissions, Enrollment Services, High School Relations, Records, Financial Aid, and other campus partners to support admissions operations, enrollment goals, student persistence, and departmental priorities
  • Generates, reviews, and maintains admissions reports and data; supports process improvement, system testing, troubleshooting, and updates to procedures, technology, and related resources
  • Maintains current knowledge of Enrollment Services resources, software applications, academic schedules, testing procedures, policies, procedures, and operational updates necessary to perform assigned duties
  • Participates in cross-training, professional development, and team support activities while managing multiple priorities, meeting processing timelines, and adapting to changing enrollment needs, technology, regulations, and priorities
  • Maintains professionalism, positive working relationships, regular attendance, and service continuity in a shared office and student service environment; position may require periodic travel to the Bentonville campus and flexible work hours during peak enrollment periods
  • Additional duties may be assigned as necessary to support the goals and objectives of the department and college

Rate of Pay: $18.55 per hour *Higher compensation may be considered based on qualifications directly related to position

Minimum Qualifications

  • High school diploma or equivalent
  • One year of administrative support, records processing, customer service, data entry, or related office experience
  • Experience using computer systems, databases, document management systems, or related technology to enter, review, and maintain accurate records
  • Ability to learn and apply institutional policies, procedures, and regulatory requirements while maintaining accuracy, confidentiality, and attention to detail
  • Ability to manage multiple priorities, adapt to changing processes, communicate effectively, and contribute to a collaborative team environment

Preferred Qualifications

  • Experience working in higher education, admissions, enrollment services, records, or a student services environment

Knowledge, Skills, And Abilities

  • Knowledge of higher education admissions processes, enrollment services operations, campus resources, and applicable institutional, state, and federal regulations
  • Knowledge of student information systems, document management systems, reporting tools, and related technology used to support admissions operations
  • Ability to interpret and consistently apply policies, procedures, and requirements while maintaining accuracy, confidentiality, and attention to detail
  • Ability to review, evaluate, and verify information from multiple sources, identify discrepancies, and provide recommendations for process improvements.
  • Ability to compile, organize, and analyze information for reporting, documentation, and operational needs
  • Ability to adapt to changing priorities, procedures, technology, and enrollment needs while maintaining effective working relationships with students, staff, and campus partners

The work environment is a shared office setting with regular interaction from students, staff, and campus visitors. The level of activity and noise may vary depending on daily operations, enrollment periods, and student service needs. The employee may work independently while also collaborating with others in a team environment.
