Position Summary
The Middle School Finance Secretary provides clerical, financial, and organizational support to the school’s administration. This role is responsible for managing financial transactions, maintaining accurate records, assisting with budget preparation, and supporting day-to-day school office operations. The Finance Secretary ensures compliance with school division policies and state regulations while delivering excellent customer service to students, staff, parents, and community members.
Key Responsibilities
• Process purchase orders, invoices, and requisitions in compliance with division and state guidelines.
• Manage school accounts, including activity funds, petty cash, and fundraising monies.
• Reconcile monthly bank statements and prepare accurate financial reports.
• Assist in budget preparation, expenditure monitoring, and year-end reporting.
• Maintain organized records of financial transactions and required documentation.
• Serve as a point of contact for vendors, parents, and staff regarding financial matters.
• Provide general office support such as answering phones, greeting visitors, and assisting with correspondence.
• Maintain confidentiality of records and information at all times.
• Perform other duties as assigned by the Principal or school administration.
Qualifications
• High school diploma or equivalent required; associate degree or coursework in accounting, business, or office administration preferred.
• Minimum of two years of clerical, bookkeeping, or financial recordkeeping experience (school finance experience preferred).
• Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
• Ability to use financial software, spreadsheets (e.g. Microsoft Excel, Google Sheets), and documents (e.g. Microsoft Excel, Google Docs).
• Knowledge of basic accounting principles and financial recordkeeping practices.
• Strong communication and interpersonal skills for working with staff, students, parents, and vendors.
• Ability to maintain accuracy and attention to detail in all tasks.
Work Schedule & Compensation
• Full-time, 12-month position
• Salary: Based on Northumberland County Public Schools support staff salary scale
