Position Overview
The Front Desk Client Services Representative plays a key role in creating a welcoming, respectful, and confidential environment for clients seeking behavioral health and clinical services. This position supports daily office operations, scheduling, and communication while ensuring a positive client experience.
Key Responsibilities
- Greet clients, visitors, and staff in a courteous and professional manner
- Check clients in/out and verify appointment details
- Answer phone calls, respond to inquiries, and direct calls appropriately
- Schedule, confirm, and manage appointments using EHR systems
- Collect and update client demographic and insurance information
- Verify insurance eligibility and collect co-pays or balances at the time of service
- Maintain accurate and confidential records in compliance with HIPAA and PHI
- Process intake paperwork and ensure completeness of all required forms
- Monitor and maintain a clean, organized reception area
- Support administrative and clinical staff as needed, while supporting the organization’s core values of kindness, honesty, and respect
Qualifications - Required
- High school diploma or equivalent
- 2 years of front desk, customer service, and medical office experience, preferably in a behavioral health setting
- Strong communication and interpersonal skills
- Basic computer proficiency (Microsoft Office and scheduling systems)
