Position Summary
The Payroll and Business Office Clerk is responsible for the accurate and timely processing of payroll for a diverse workforce, including teachers, administrators, and support staff. This position also provides administrative and financial support to the Business Office. As a highly visible role serving all NEC employees, success requires strong attention to detail, excellent customer service, effective communication, and the ability to manage multiple priorities.

Essential Duties and Responsibilities
Payroll Processing and Support
Prepare and process payroll for all employees, including salaried, hourly, and substitute staff
Enter and verify payroll data, including hours worked, salary adjustments, benefits, and deductions
Process timecards, overtime, and other payroll-related transactions
Maintain and update accrual records; process absence data within the payroll system
Complete biweekly and monthly retirement reporting
Compliance and Recordkeeping
Ensure payroll processes comply with federal, state, and local laws, as well as NEC policies
Maintain accurate and organized payroll records, including pay stubs, tax forms, direct deposit information, and garnishments
Monitor and reconcile accrual records, resolving discrepancies as needed
Systems Management and Data Integrity
Maintain and update employee payroll information within the payroll system
Assist with payroll audits and reconcile discrepancies
Generate and distribute payroll-related reports
Employee Support and Communication
Respond to employee inquiries regarding payroll, deductions, benefits, and tax withholdings
Assist employees with payroll forms, direct deposit setup, and timesheet submission
Collaborate with Human Resources and Finance to ensure accuracy of compensation and benefits
Business Office Support
Assist with accounts payable and receivable functions
Maintain accurate financial records and filing systems (electronic and paper)
Reconcile financial documents and support monthly reporting
Respond to vendor and staff inquiries regarding payments and accounts
Prepare and distribute financial correspondence and reports
Perform general clerical and administrative duties, including copying, scanning, and data entry
Required Skills and Abilities
Ability to maintain a high level of confidentiality
Strong written and verbal communication skills
Excellent interpersonal and customer service skills
Strong organizational skills and attention to detail
Ability to manage competing priorities and meet deadlines
Proficiency in Microsoft Office Suite and Google Workspace; experience with School ERP Pro Software preferred
Working knowledge of federal and state labor laws, including FMLA
Understanding of collective bargaining agreements and union-based payroll processes
Ability to work both independently and collaboratively in a fast-paced environment
Education and Experience
3–5 years of payroll experience, preferably in a school district or public sector setting
Strong knowledge of payroll regulations, labor laws, and tax compliance
Experience with payroll systems; School ERP Pro experience strongly preferred
Familiarity with public school finance and budget practices preferred
Work Environment
Office-based position requiring prolonged periods of sitting and computer use
Fast-paced environment requiring prioritization and flexibility
Frequent interaction with staff and stakeholders
Occasional need to work beyond the standard school day to meet deadlines
Ability to lift up to 10 pounds

Salary Range
$60,000 – $70,000
