This individual should be enthusiastic about answering phones, greeting our clients, and working with the advisor to complete all service-related items on the client’s behalf.
As a member of our team, you will be expected to assist the Northright Financial team with the administrative tasks set forth below. The “tasks” are necessary pieces of the client service model.
Position Overview:
Provide administrative support by answering the phone, greeting clients, maintaining client information in financial CRM’s and firm databases, scheduling client meetings, sending meeting reminders, preparing documents, opening and routing mail, data entry, filing/scanning, and other special projects and duties as assigned.
Position Requirements:
The ideal candidate should be knowledgeable, able to communicate with advisor, clients and various business contacts in a courteous and professional manner; and have the following abilities:

Key Responsibilities:
Client Interaction
· Greet and welcome clients in a friendly and professional manner in person and over the phone, providing excellent service and timely responses.
· Handle incoming and outgoing phone calls as well as respond to client requests promptly and professionally
· Assist in preparing for client meetings, including compiling necessary documents and information
· Process various client service items, including withdrawals, beneficiary changes, etc.
· Handle client inquiries and follow up on outstanding tasks or requests
· Serve as the wholesaler liaison/gatekeeper. Take information and determine if advisor team is interested in setting up a meeting.
· Troubleshoot client problems, with assistance from lead advisor when needed, and respond in a timely manner
Administrative Support
· Schedule meetings and manage calendars for the advisor
· Generate internal reports and maintain accurate records of client information
· Handle incoming and outgoing correspondence, including mail, email, and faxes
· Support compliance by ensuring necessary documentation and forms are up to date
· Communicate with the broker/dealer, advisory firm and product contacts
· Order supplies and coordinate client gifts to enhance client relationships
· Maintain the office environment to ensure it is organized, clean, functional, and presentable at all times
· Organize & accurately maintain electronic filing system of all client information
· Update contact management/ database for all prospects, clients and referral sources
· Prepare forms and letters for client matters, both electronically and hard copy
· Perform various miscellaneous tasks as assigned
Marketing Assistance
· Personalize and send marketing emails and client mailings
· Manage and update the firm's website, social media accounts, and other online marketing channels
· Plan and organize events, including client appreciation events and seminars. Including follow up with clients/prospects afterwards.
Financial Projects
· Update contact management/database management for all prospects, clients and referral sources
· Prepare investment portfolio review for clients, in both print and electronic formats (Schwab Alliance, eMoney)
· Prepare new account paperwork and coordinate new account set up
· Handle and deposit checks, wire requests, cash management and all blotters. Including assisting w/ account transfers
· Initiate and follow-up on service workflows as assigned
· Generate reports, as needed, for required minimum distributions, client reviews and other service-related tasks
· Maintain compliance with all RIA and Broker Dealer Requirements
