Background Screening Representative will support the Workforce Screening function. This role plays a critical part in ensuring that background screening for employees and contingent workers is completed accurately, confidentially, and in accordance with regulatory requirements prior to start dates.
Individual within this role will work closely with candidates, internal stakeholders, and third-party screening vendors to manage background check cases, resolve discrepancies, and escalate adverse findings as needed.
Key Responsibilities
• Partner with internal stakeholders and candidates to ensure background screening is completed prior to agreed start dates
• Communicate directly with candidates and employees undergoing background screening in compliance with applicable regulatory requirements
• Review background screening results and discrepancies flagged by third party screening vendors
• Manage Requests for Information (RFIs) and follow up with candidates to facilitate employment, education, and other required verifications
• Identify and escalate adverse or discrepant findings (e.g., education or employment issues) in accordance with established procedures
• Route adverse information to senior management, Compliance, Human Resources, and Employment Law to support review, adjudication, and disposition
• Coordinate with HR onboarding teams and external background screening vendors to ensure timely and accurate case resolution
Required Qualifications
• Minimum 2 years’ experience in background screening, case management, human resources or a related operational role
• Strong client focus with sound judgment and the ability to handle sensitive information discreetly
• Excellent written and verbal communication skills
• Ability to work effectively under pressure, manage multiple priorities, and meet demanding deadlines
• Strong attention to detail and the ability to synthesize information from multiple sources
• Proficiency with Microsoft Word, Excel, and database systems (experience with Workday or Salesforce is a plus)
• Demonstrated professionalism, discretion, and sensitivity when handling confidential information
Preferred Qualifications
• Bachelor’s Degree preferred but not required
• Prior experience in Corporate Security, Case Management or Human Resources supporting background screening or onboarding processes
• Familiarity with regulatory requirements related to applicant disqualification and adverse findings
• Understanding of background screening notification, escalation, and dispute resolution requirements under local law
• Strong organizational and time management skills
• Confidence interacting with candidates, vendors, and internal partners
• A commitment to confidentiality and ethical handling of personal data
• The ability to navigate ambiguity in a fast paced, evolving environment
