- Serve as the go-to resource for employee benefits questions, providing high-touch, 1:1 concierge guidance across medical, dental, vision, FSA/HSA, life, disability, retirement, and voluntary benefits
- Help employees navigate the tough stuff — claims issues, provider searches, prior authorizations, appeals, and coordination of benefits
- Own benefits communications, including new hire onboarding, open enrollment campaigns, life event guidance, and ongoing education
- Partner with carriers and vendors to resolve escalated employee issues
- Support open enrollment planning, meetings, and post-enrollment follow-up
- Reconcile and process monthly benefits invoices across carriers and vendors
- Audit enrollment data, payroll deductions, and carrier eligibility files for accuracy
- Manage life event changes, new hire enrollments, and terminations in HRIS and carrier portals
- Maintain benefits records, documentation, and a compliance calendar
- Ensure timely distribution of required notices and plan documents (SPDs, SBCs, SMMs, HIPAA, COBRA, WRAP, Medicare Part D, SAR)
- Support annual compliance activities including ACA (1094/1095) reporting, PCORI, and CMS filings
- Partner with our brokerage on the Form 5500 filing, providing data and documentation as needed
- Support COBRA administration and coordinate with third-party administrators
- Stay current on federal and state regulatory changes affecting group health and welfare plans
- A warm, empathetic people person who's just as comfortable heads-down in a spreadsheet as across the table from a teammate
- 5 years of experience in employee benefits, benefits administration, HR, or a related field (HR, insurance/brokerage, or healthcare/medical backgrounds all welcome)
- Working knowledge of group health and welfare plans and applicable regulations (ERISA, ACA, HIPAA, COBRA, FMLA, Section 125)
- Experienced with benefits billing reconciliation and vendor management
- Skilled at translating complex benefits concepts into plain language employees can actually use
- Detail-oriented and comfortable juggling multiple deadlines
- Proficient in HRIS platforms and Microsoft Office
- Discreet with confidential and sensitive employee information
- Familiarity with self-funded medical plans
- Prior experience supporting benefits compliance and required notice distribution
- A clinical, patient advocacy, or medical claims background
