Position Overview - Director of Operations
The Director of Operations works closely with the CEO to ensure all aspects of the organization
run smoothly and efficiently. This role oversees the execution of NVVA’s programs, manages
internal systems, ensures coordination between departments, and supports weekend
tournament operations. The Director of Operations is key in maintaining NVVA’s standards of
excellence in customer experience, staff support, and program delivery.
Key Responsibilities
Program Operations & Execution
● Oversee the execution of NVVA’s full range of programs, including Youth Academy,
Galaxy League, Club Volleyball, LYV, X-Performance, NVVA Plus, Camps, and Adult
programs.
● Ensure timely seasonal planning and operational execution.
● Support skill evaluations and player placements in coordination with technical staff.
Facility & Tournament Management
● Provide oversight and direction to the Facilities Department to ensure proper
management of daily and weekend usage of the Virginia Volleyball Center.
● Oversee court setup, referee coordination, check-in, and logistics during tournaments.
● Maintain quality control and organization during hosted events and competitions.
Staff Oversight & Collaboration
● Supervise program coordinators and part-time operational staff.
● Lead weekly operations meetings and ensure alignment between departments.
● Support hiring, onboarding, and documentation for the smooth execution of recurring
tasks.
Systems & Workflow Management
● Ensure program schedules, registration systems, and customer service documentation
are accurate and maintained.
● Work across departments to streamline processes, documentation, and reporting.
Collaboration with Technical Staff
● Work with the Volleyball Technical Director to ensure curriculum alignment and training
quality.
● Understand skill evaluation systems and contribute to placing athletes in the right
programs and teams.
Sanctioning Bodies & Compliance
● Maintain NVVA’s relationships and compliance with AAU, JVA, USAV, and AVCA.
● Handle event sanctioning, insurance coverage, roster management, and documentation.
Customer Service Integration
● Provide support for escalated customer service cases.
● Ensure internal systems keep front-line service teams informed and equipped.
● Participate in analyzing feedback and adjusting service procedures accordingly.
Financial Oversight
● Monitor budget alignment, staffing costs, and program profitability.
● Lead the expense tracking process across all departments.
● Ensure that all expenses align with the approved budget.
● Review and approve expenses in coordination with the CEO or designated financial
lead.
● Ensure all income and expenses are booked correctly in QuickBooks or the accounting
system.
Operational Continuity
● Maintain SOPs and internal documentation to ensure continuity during staff transitions.
- Provide training and clarity to seasonal hires or newly added staff.
