Job Description

POSITION SUMMARY: Under general supervision of the Behavioral Health Director, the Behavioral Health Administrative Assistant serves as a central administrative support role that helps maintain organized, responsive, and efficient department operations. This position contributes to a professional team environment by supporting clear communication, coordinated workflows, and consistent follow through while maintaining confidentiality and a high standard of service.

ESSENTIAL JOB FUNCTIONS: The list that follows is not intended as a comprehensive list, but rather to provide a representative summary of the major duties and responsibilities. Incumbent(s) will be required to perform a variety of duties listed, including but not limited to:

  • Provide administrative and clerical support to the Behavioral Health Director and Department leadership and staff to ensure efficient daily operations and workflow coordination.
  • Coordinate calendars, meetings, and department activities, including scheduling, reserving meeting space, preparing agendas, recording minutes, and tracking follow-up actions.
  • Prepare, maintain, and organize department documents, reports, spreadsheets, and correspondence, in accordance with agency policies and procedures.
  • Collect, compile, and track data to support monthly statistics, productivity monitoring, grant reporting, compliance reporting, and other departmental performance measures.
  • Assist with Behavioral Health compliance activities, including monitoring documentation timeliness, for GPRA measurement completion, peer review processes, required training, and related quality initiatives.
  • Support provider and staff work scheduling functions, including PTO tracking and processing, coverage coordination, schedule maintenance, and communication with managers and team members.
  • Coordinate onboarding and training activities for new staff, including orientation materials, system access, equipment readiness, and required training completion.
  • Assist with fiscal and operational functions, including purchasing, continuing education requests, invoices, budget tracking, grant-related documentation, and coordination with internal departments.
  • Support department projects, outreach efforts, workflow improvements, and special assignments while maintaining confidentiality of patient, employee, fiscal, and organizational information in accordance with applicable regulations and agency standards.
  • Other administrative duties as assigned.

Required Experience

REQUIRED QUALIFICATIONS: The following knowledge, skills, and abilities are required for an employee to successfully perform the duties of this position.

  • High school diploma or GED required
  • Two (2) years of health care-related or administrative support experience preferred.
  • Proficient with computers, electronic communication, Microsoft Office applications, and other NVIH software systems.
  • Strong organizational problem-solving and analytical skills with acute attention to detail and ability to multi-task.
  • Excellent written, verbal, interpersonal, and public speaking skills.
  • Demonstrates professionalism, confidentiality, high standards, and commitment to excellent service.
  • Ability to follow policies, procedures, protocols, and confidentiality requirements while managing changing priorities in a collaborative team environment.
  • Reliable transportation and ability to travel to various NVIH locations as needed.
