The Opportunity:
The Northern Illinois Food Bank seeks an extraordinarily motivated candidate to join our team as a Healthy Communities Administrative Specialist, and support the operations of the Healthy Communities Program through addressing the needs of the communities we serve through initiatives such as Screen and Intervene and Economic Mobility. The Administrative Specialist will facilitate the daily implementation and monitoring of Build Healthy Communities (BHC) Programs.
This part-time position is based out of our West Suburban Center (Geneva), working between 30 – 39 hours Monday through Friday during core-work hours 8:00 a.m. to 5:00 p.m.
Duties and Responsibilities:
- Maintain and update dashboards, databases, reporting, online platforms, and files pertaining to all Healthy Communities programs.
- Review, adjust, and/or create food orders for Healthy Communities programs in inventory management software.
- Maintain consistent communication with program partners to coordinate distribution schedules, food deliveries, reporting requirements, and other logistics.
- Support the Healthy Communities Manager by providing regular updates on program activities, performance metrics, and any emerging issues or concerns.
- Deliver remote and occasional on-site administrative support for Healthy Communities programs and food distribution events.
- Prepare meeting agendas, training materials, and presentation decks to support program initiatives and team collaboration.
- Manage logistics for internal and external meetings, including scheduling, calendar invitations, room reservations, and refreshments.
- Attend meetings with or on behalf of the Healthy Communities Manager to represent the team, taking detailed notes, and ensure timely follow-up on action items.
- Foster and maintain positive, professional relationships with both internal departments and external program partners.
- Assist Wellness Food Connection partners with placing and managing bi-monthly food orders.
- Prepare and share program data and reports with internal and external stakeholders upon request.
- Provide administrative support to strengthen and grow Healthy Communities programs in alignment with the Food Bank’s strategic initiatives.
- Perform other related duties and/or responsibilities as assigned or required.
Who You Are:

- Bachelor’s degree in the related area or equivalent experience required.
- Familiarity with food service, emergency food programing, public benefits, safety new services, or vulnerable populations preferred.
- Experience working with or around healthcare preferred.
- Proficient in Microsoft Office programs including Excel, Outlook, Word, and PowerPoint.
- Strong attention to detail and data management.
- Capacity to learn internal technology quickly and efficiently.
- Organized and efficient with administrative tasks.
- Excellent written and verbal communication skills.
- Strong customer relation skills.
- Bilingual in Spanish helpful, but not required.
- Ability to problem solve and make timely decisions.
- Ability to work independently but also collaborate well with internal teams, external program. partners and other key stakeholders.
