Overview
Northern Horizon Contracting, a veteran-owned contracting and property maintenance company based in Eagle River, is looking for an organized, detail-oriented Office Coordinator to keep our day-to-day operations running smoothly. This role is built to take administrative ownership off the owner's plate entirely — from scheduling and invoicing to inventory, vendor orders, and day-to-day coordination — so he can stay focused on the field. It's a great fit for someone who wants real ownership over how the office runs, not just a task-list position. This role also has a clear path to grow into an Office Manager position as Northern Horizon expands, with more ownership over operations, process, and eventually team leadership.
Duties
- Manage job scheduling and work order coordination through HousecallPro and AppFolio
- Prepare and send client estimates, invoices, and contracts, following up to keep jobs moving
- Serve as the primary point of contact for client email communication, responding promptly and professionally
- Track job status from estimate through completion, flagging scheduling conflicts or delays
- Track materials and supplies inventory; place orders with vendors as jobs require
- Support job costing by tracking materials and expenses against each project
- Support basic bookkeeping tasks in QuickBooks Online (data entry, invoice tracking, expense categorization)
- Act as the owner's day-to-day right hand — handling incoming calls/texts, triaging requests, and managing the owner's schedule
- Maintain organized digital records for licensing, insurance, contracts, and client files
- Handle basic HR/admin tasks as the team grows (onboarding paperwork, timesheets, etc.)
- Help manage day-to-day office admin: correspondence, filing, and general organization
Qualifications
- Experience in office administration, scheduling, or coordination roles
- Comfortable learning and working across multiple software platforms (HousecallPro, AppFolio, QuickBooks Online, Microsoft Office)
- Strong written communication skills — most client contact happens via email
- Highly organized with good attention to detail and follow-through
- Ability to work independently, take ownership, and manage priorities in a small, fast-paced business
- Interest in growing into a leadership or office management role as the company scales
- Experience in construction, property management, or field service industries is a plus but not required

Pay: $20.00 - $26.00 per hour
