Job Summary
We are seeking a highly organized, detail-oriented Non-Profit Administrator to join our volunteer driver non-profit. The ideal candidate will have strong office management skills, proficiency with QuickBooks and other software, and excellent customer service skills. This vital role includes overseeing daily office operations and ensuring clear communication among all individuals and with local, regional, and state agencies.
The Administrator will maintain an efficient work environment that supports the Director of Development and our organization's overall mission. Your energetic approach and attention to detail will ensure smooth program operations, effective communication, and efficient resource management. This is a year-round, in-person, M-F, 30-32-hour-per-week position that offers an exciting opportunity to contribute meaningfully to equitable healthcare access for all older adults across 13 communities.
Qualifications:
- Strong computer skills, including QuickBooks Online, Microsoft Office, and Google Workspace (Gmail, Drive, Calendar)
- Office management and organizational experience
- Flexibility and a positive approach to working with people
- Competency in oral and written communication
- Highly organized and detail-oriented
Responsibilities:
- Implement the Board of Directors' policies by collaborating with volunteers, clients, the Director of Development, and local, regional, and state agencies
- Maintain accurate records in QuickBooks Online for bookkeeping and in Microsoft Office (Word, Excel) and Google Workspace (Gmail, Drive, Calendar) for administrative tasks, including scheduling, writing, spreadsheet maintenance, and record-keeping
- Learn and support the use of the transportation software for the 13 supported communities, with assistance from the developers
- Manage daily operations, including email and phone calls, with efficiency, professionalism, positivity, and courtesy
- Record, process, and deposit donations
- Train and onboard new volunteers and manage their performance and retention
- Provide the Councils on Aging with details about the program for use in advertising and other forms of communication
- Ensure accuracy and organization in all oral and written communication
- Attend in-person events to represent NEET to the public and present potential volunteer driving opportunities
- Prepare the agenda for the Board of Directors' bi-monthly meetings with assistance from the Board President
- Prepare the bi-weekly payroll
Experience:
- Strong experience with QuickBooks, MS Office, and Google Workspace
- Prior office management or administrative experience is highly desirable
- Background in customer service or support roles preferred
- Strong organizational skills, the ability to multitask efficiently, and the ability to meet deadlines
- Demonstrated time management skills and the ability to prioritize tasks effectively
- Previous experience working with older adults or an affinity for working with them
