What You'll Do
As the Office Manager, you'll be the primary administrative resource for our Indiana office and a trusted partner to our leadership team.
Office Administration
- Welcome visitors, customers, vendors, applicants, and contractors.
- Answer and direct incoming phone calls.
- Manage incoming and outgoing mail and shipping.
- Maintain office supplies and office organization.
- Coordinate meetings, appointments, and office activities.
- Handle bank deposits, mail runs, and other administrative errands.
Human Resources & Recruiting
- Coordinate new hire onboarding and orientation.
- Maintain employee records and HR documentation.
- Post job openings and coordinate interviews.
- Conduct first-round interviews for select positions.
- Schedule performance reviews and assist managers with review documentation.
- Help document employee coaching, disciplinary actions, workplace incidents, and injury reports.
- Track PTO requests and support attendance administration.
- Help reinforce company policies and foster a positive workplace culture.
Accounting & Administrative Support
- Apply customer payments and post checks to customer invoices.
- Process customer returns and credits.
- Enter and coordinate material orders.
- Scan and organize bills of lading, delivery tickets, and operational documents.
- Support payroll preparation and administrative accounting tasks.
- Maintain accurate filing and recordkeeping.
Operations Support
- Assist leadership with reports, spreadsheets, and special projects.
- Help maintain department KPI tracking and reporting.
- Coordinate documentation between departments.
- Monitor office processes and recommend improvements.
- Identify issues before they become problems and communicate them to leadership.
- Support multiple departments as business needs evolve.
What We're Looking For
We're looking for someone who enjoys wearing multiple hats and thrives in a fast paced environment.
Qualifications
- Three or more years of office management, business administration, HR, accounting support, or related experience.
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- High level of professionalism and discretion with confidential information.
- Strong attention to detail.
- Ability to prioritize multiple responsibilities while meeting deadlines.
- Comfortable working independently with minimal supervision.
- Proficient in Microsoft Office and business software.
- Experience with payroll, bookkeeping, or accounting support is preferred.
- Manufacturing, construction, or industrial experience is a plus.
- Valid driver's license.
