Position Overview
We are a premier, full-service manufacturer and installer of high-end outdoor structures—including custom sheds, garages, pool houses, and specialized backyard buildings. With Locations on Long Island (NY), Central New Jersey, and Northwestern Connecticut, we pride ourselves on exceptional craftsmanship and direct-to-consumer service excellence.
We are seeking a highly organized, resilient, and deeply committed Executive Assistant (EA) to provide comprehensive administrative and strategic support to our President and Vice President. Based out of our Harwinton, CT location, this is an intensive, high-impact role requiring a six-day work week (Monday through Saturday) totaling 50 to 60 hours. You will serve as the primary operational anchor for our executive leadership team. The ideal candidate thrives under pressure, excels in a fast-paced manufacturing/retail environment, and can seamlessly manage competing priorities across multiple state markets.
Key Responsibilities
Executive Support & Calendar Management
- Manage, optimize, and align complex calendars for both the President and Vice President to ensure maximum efficiency across a six-day operational week.
- Act as the primary gatekeeper, screening and prioritizing incoming calls, emails, and meeting requests.
- Anticipate executive needs and prepare necessary agendas, presentations, or background briefs ahead of all internal and external meetings.
Travel & Multi-Site Coordination
- Planned Travel: Coordinate and occasionally accompany executives on scheduled visits to regional offices, showrooms on Long Island and in Central New Jersey.
- Unplanned/Urgent Travel: Maintain the agility to travel on short notice—or rapidly coordinate last-minute emergency logistics for executives—to address multi-state operational disruptions, supply chain emergencies, or critical on-site facility issues.
- Local Logistics: Handle urgent, same-day local travel from the Harwinton office to retrieve essential municipal permits, parts, or documents required to keep active building projects on schedule.
Operations & Cross-Location Coordination
- Serve as a central communication bridge between the executive Leadership and regional managers on Long Island, NJ, and CT
- Track key operational milestones, production deadlines, and project timelines across our DTC manufacturing and sales pipelines.
- Attend executive and leadership meetings to take detailed minutes, track action items, and ensure accountability across departments.
- Draft, proofread, and distribute company-wide announcements, executive correspondence, and operational updates.
Office Management (Harwinton, CT)
- Maintain a professional, organized, and welcoming environment at our Harwinton headquarters from Monday through Saturday.
- Oversee local office inventory, supply ordering, mail distribution, and vendor relationships.
Qualifications & Skills
- Experience: 4 years of experience as an Executive Assistant, Operations Coordinator, or similar role supporting executive level leadership. Experience in manufacturing, construction, DTC retail, or multi-location businesses is highly preferred.
- Commitment: Proven ability to manage a heavy workload and comfortably sustain a 50–60 hour, Monday–Saturday work schedule.
- Mobility & Flexibility: Must possess a valid driver’s license, a clean driving record, a reliable personal vehicle, and the schedule flexibility to respond to after-hours operational emergencies across different time-sensitive states.
- Tech Savviness: High proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and Google Workspace. Experience with CRM software, project management tools, or manufacturing ERP systems is a strong plus.
- Communication: Exceptional written and verbal communication skills, with the ability to interact professionally with affluent DTC customers, factory teams, and sale staff
- Problem-Solving: A resourceful self-starter who can solve problems independently, pivot quickly when priorities shift, and maintain complete confidentiality.

Salary : $64,000 - $104,000
