Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent customer service.
- Oversee office supplies inventory, procurement, and filing systems to ensure operational efficiency.
- Coordinate calendar management, scheduling meetings, appointments, and conference room bookings.
- Handle data entry tasks, maintain accurate records, and perform proofreading to ensure document accuracy.
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking.
- Assist with clerical duties such as typing correspondence, organizing files, and managing incoming and outgoing mail.
- Provide administrative support to team members and act as a personal assistant when needed.
- Assist with DME (Durable Medical Equipment) administrative processes, including patient intake, documentation, prescription tracking, insurance verification, and coordination with healthcare providers and patients.
- Help maintain compliance with healthcare documentation and operational procedures.
Qualifications & Experience
- Proven office management experience with strong organizational skills and attention to detail.
- Experience in the DME (Durable Medical Equipment) industry, medical office, healthcare administration, or medical billing is strongly preferred.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Experience with multi-line phone systems, professional phone etiquette, and customer support.
- Bilingual skills are highly desirable.
- Familiarity with office equipment such as printers, scanners, and fax machines.
- Experience with data entry, document management, and proofreading.
- Previous experience as a medical receptionist, dental receptionist, healthcare coordinator, or personal assistant is a plus.
- Strong time management skills with the ability to prioritize tasks in a fast-paced environment.
Pay: $900.00 - $1,200.00 per week
