Our client, a well-established and global private markets investment firm, is hiring an Executive Assistant to support their Marketing team. This role is critical in ensuring seamless operational flow across calendars, travel, client engagement, and presentation preparation. It's a strong fit for someone who is exceptionally organized, proactive, and energized by supporting a high-performing team within a collaborative, people-first culture.Please note this position operates on a hybrid schedule in New York City (3 days in-office).Key Responsibilities:Manage complex calendars and oversee day-to-day scheduling for Managing Directors and senior team membersCoordinate comprehensive domestic and international travel, including flights, hotels, cars, and detailed itinerariesServe as a primary point of contact for prospects and investors, including fielding inquiries and coordinating meetingsTrack deliverables and deadlines to ensure timely completion across the teamEnsure team members arrive at meetings prepared and on time, with all required materialsPrepare and update PowerPoint presentations for client meetings and finals presentationsHandle high-volume expense reporting and reconciliation (Concur experience a plus)Track charitable sponsorships, liaise with accounting on payments, and maintain accurate recordsMaintain internal databases; Salesforce experience strongly preferredAssist in planning and executing client events, including the Annual Investor ConferenceAbout You:Minimum 5 years of administrative/EA experience, ideally within financial servicesBachelor's degree preferredProficiency in Microsoft Word, Excel, PowerPoint, and OutlookCalm and poised under pressure; comfortable navigating last-minute changesExtremely detail-oriented with exceptional organizational skillsPositive, proactive attitude and strong sense of ownershipTeam-oriented mindset; collaborative with both the Marketing team and broader administrative staffHigh level of discretion and professionalism when handling confidential informationWhat We Offer:Competitive total compensation in the range of $110,000 – $125,000Hybrid flexibility (3 days/week in the NYC office)Opportunity to support a global, multi-strategy investment firm with 25 years of private markets expertiseCollaborative, people-focused culture with significant visibility to senior leadershipExposure to investor relations, marketing processes, and cross-functional teams within a leading investment platform
