The Program Coordinator is responsible for administering the Commodity Supplemental Food Program (CSFP) by engaging with various distribution methods, including direct distributions, DoorDash delivery, and agency drop sites. The Program Coordinator serves as the liaison between NTFB and the assigned community, providing administrative oversight and ensuring compliance with federal, state, and NTFB regulations and policies. Additionally, this role may support other North Texas Food Bank programs, including Garden, Nutrition Education, and Child. 


MINIMUM QUALIFICATIONS: 

Education: 

• Associate’s degree in social services or related field preferred, or equivalent work experience 


Special Knowledge/Skills/Abilities: 

• Strong focus on client satisfaction and customer service attitude

• Excellent written, verbal, and interpersonal communication skills

• Comfortable working in low-income communities with diverse populations and visiting program sites within our 12-county service area 

• Able to work independently with minimum supervision and collaborate with other departments, volunteers, partner agencies and distribution sites

• Intermediate proficiency with Microsoft Office applications

• Able to meet deadlines and complete paperwork in a timely manner 

• Must be a self-starter, detail-oriented and compliance minded

• Comfortable working in a fast-paced environment

• Bilingual (English/Spanish) is preferred


Experience: 

• One year of administrative work or customer service, preferably within the non-profit industry


PRINCIPLE DUTIES AND RESPONSIBILITIES:

• Facilitate CSFP distributions via direct distribution, DoorDash delivery, and/or agency drop sites as assigned

• Research community needs and resources utilizing data to inform strategy, as assigned 

• Conduct regular site visits, create orders, coordinate with Operations Team, and resolve order fulfillment issues

• Maintain and build relationships with site coordinators and other relevant stakeholders, ensuring program standards and compliance at all site

• Address neighbor/stakeholder asks by researching root causes impacting food distribution to ensure resolution and stakeholder satisfaction

• Enroll program participants, track participation, and regularly update program records in Link2Feed

• Perform general administrative functions including answering and responding to neighbor and other stakeholder phone calls and voicemails, processing CSFP applications submitted via Jotform, responding to team inbox emails, tracking inventory, creating and updating flyers and calendars, and printing distribution materials

• Educate seniors on the benefits of CSFP/PAN; certify qualified individuals, while referring non-eligible persons to alternate resources

• Create, maintain, update, and distribute program documents, agreements, and trainings (in coordination with NTFB Quality team)

• Represent NTFB Programs at community events, coalitions, donor meetings, media events, etc.

• Update processes, resolve operational challenges, and collaborate within and beyond the CSFP Team with a focus on continuous improvement

• Perform other tasks and duties as assigned


MENTAL DEMANDS: 

• The person in this position needs to adapt well in the face of workplace stressors, such as customer complaints, compliance offenses, competing programmatic priorities and maintaining the safety of people and property.

• The person should be able to quickly diagnose and resolve issues at a distribution. 


PHYSICAL DEMANDS:

• While performing the duties of this job, the employee is frequently required to stand, sit, use hands to finger, handle or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch or crawl, talk or hear. 

• Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

• The employee must occasionally lift and/or move up to 35 pounds. 


ENVIRONMENTAL FACTORS:

• Moderate noise (i.e., business office with open floor plan with computers, phone, and printers, light traffic).

• This person should have the ability to work outdoors at a variety of locations. This program operates in non-hazardous weather conditions rain or shine, year-round. 

• Reliable transportation and a valid DL and insurance is required for travel to sites within our 12-county service area
