What are the responsibilities and job description for the IHLC Commission Clerk position at North Slope Borough?
Responsible for the organization and coordination of variety of Inupiat History Language and Culture Commission activities including serving as Clerk and providing assistance and services to the commission officials and departments, as well as the public.The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Responsible for recording the Commission’s verbal discussions and transcribing minutes, and safekeeping of all Commission files.
Coordinate all public postings and notices with IHLC Central staff.
Prepare and distribute agenda materials and minutes for all regular and special meetings of the commission in accordance with borough codes.
Serve as secretary for the IHLC Commission.
Attest by signing all required documentation.
Assist in setting dates for publications and meetings.
Assist in keeping records of all appointees to the Commission and inform the administration of expiration dates.
Work with the City offices and the administration of appointments to the Commission.
Prepare certain advertisements to fulfill the requirements.
Plan and coordinate the attendance of the commissioners in special events.
Assist in the coordination and maintenance with contacts with city and tribal governments, borough departments, IHLC Commission, State and Federal agencies, and industry representatives.
Respond to the public professionally and courteously.
Cross-train with other employees in the department and provide coverage as necessary.
Participate and successfully complete all required departmental training.
Travel to outlining communities to record all IHLC Commission meetings and assist in making Commissioners' travel arrangements.
Perform other duties as assigned.
Knowledge of North Slope Borough organization, operations, policies, and procedures.
Ability to establish and maintain effective working relations with a wide variety of persons, including those whose interests may be adversarial.
Ability to work independently, perform highly accurate work, and write clear and accurate reports and correspondence.
Ability to meet the public, to understand their questions, and to provide clear answers.
Maintain absolute confidentiality of work-related issues, records, and borough information.
