Job Summary
The pastoral administrator will be responsible for assisting the pastoral staff in planning, implementing, and supporting the care of the body and its members. The role must maintain a professional relationship with the pastor, staff, congregation, and community, keeping information acquired through the duties of the position confidential.
Core Responsibilities
- Works closely with the pastoral staff to plan, coordinate, and deliver Sunday Worship Services. This may include support for the Worship team.
- Support the pastoral staff to ensure overall pastoral care of membership. Oversee the shepherding list and assist pastors in any additions or transitions regarding assigning elders to members
- Serves as the liaison for pastors, assisting where it makes sense as an extension of the pastoral team. This could include, but not limited to, scheduling, check-ins with ministry leaders and volunteers, and helping implement pastoral initiatives.
- Available to assist pastors with routine scheduling and communication, including but not limited to
- Schedule liturgists and readers each week
- Ensure the deacon’s schedule is up to date for service coverage
- Communion planning: order supplies, coordinate with volunteers who will make bread and fill cups, and ensure that all necessary supplies are in place for Sunday. Schedule pastor/elders to serve in each service, including the balcony
- Baptism planning: process requests, welcome and assist people coming for baptism, ensure rows are reserved, and supplies are ready for baptism
- New Members: Primary responsibility for membership data management in Breeze, including statistical analysis. Responsible for the new member joining process, both for new believers and for transfers. Oversees member transfers.
- Oversee bulletin production in coordination with other stakeholders. Ensure bulletins are printed and set out for distribution
Secondary Responsibilities
- Work closely with Communications to ensure proper alignment with the pastors and outgoing communications. May take the lead on specific pastorally initiated communications.
- Assist with pastoral initiatives as needed
- Oversee the administrative flow for the Christmas Concert in cooperation with the worship team and office/accounts manager.
- Serve as the point person for funerals.
Qualifications and Skills
Required:
- Understanding of and alignment with the core values, mission, and vision of the church
- At least 2 years of administrative experience
- Strong collaboration, interpersonal, and communication skills
- Organized and able to manage multiple priorities; very detail-oriented
- Proficient with Google Suite, Microsoft Office applications, familiarity with database management, and other necessary technology for the position
- Can hold sensitive information confidential regarding pastoral and shepherding issues
- Able to receive constructive feedback
Desired:
- College degree preferable
- Previous experience working in a faith-based organization
Working Conditions
- Maintain regular office hours (Mon - Fri)
- Week prior to 1st Sunday or during specific events adjusted for Comp time
- Attend weekly staff meetings and admin meetings
Pay: $20.00 - $23.00 per hour
