The Business Office Manager is responsible for overseeing all functions of the business office, with a strong focus on billing, cash collections, and the integrity of resident financial data. This position reports directly to the Nursing Home Administrator and plays a key role in ensuring accurate and timely financial operations across the facility.
This is a full-time, exempt position offering a competitive salary between $36-$39 per hour (based on experience). Key Responsibilities
The Business Office Manager is responsible for:
- Business Office Oversight & Leadership Oversee daily business office operations and staff, ensuring effective workflows and internal controls.
- Billing & Collections Management Manage billing and collections across all payor types, ensuring timely submission, follow-up, and accurate reporting.
- Census & Financial Data Management Maintain daily census in PointClickCare, including admissions, discharges, and payer updates.
- Medicaid Pending & Financial Screening Oversee Medicaid applications and tracking, and complete financial screenings for new admissions and payer changes.
- Accounts Receivable & Aging Monitor aging reports, follow up on outstanding balances, and drive timely collections.
- Financial Accuracy & Compliance Ensure accuracy of resident financial records, maintain documentation, and support audit and survey readiness.
- Cash, Trust & Month-End Processes Oversee cash reconciliation, resident trust accounts, and timely month-end close processes.
- Communication & Service Serve as a key point of contact for residents, families, and payors, resolving billing questions with professionalism and care.
The ideal candidate should possess:
- Strong experience in Skilled Nursing Facility billing and healthcare administration
- Deep knowledge of the Medicaid Pending process, including applications and eligibility tracking
- Experience billing Medicare, Medicaid, Managed Care, and Private Pay
- Strong communication skills with the ability to work with families, residents, and external agencies
- Proven ability to manage collections, aging, and financial workflows
- High attention to detail and accuracy
- Strong leadership and collaboration skills
- Excellent problem-solving abilities with a customer-service mindset
- Bachelor’s degree in Healthcare Administration, Business, or related field (preferred)
- 3-5 years of healthcare billing/accounting experience, preferably in Skilled Nursing
- Prior Business Office Management experience strongly preferred
- Experience with PointClickCare required
- Intermediate computer skills, including Microsoft Word and Excel
- Ability to work independently and manage multiple priorities
