Summary: Full-time, non-exempt position reporting to the CEO and COO. Provides executive-level administrative support, reporting, and database management. Evening and weekend work may be required.
Essential Functions & Responsibilities:
· Perform general administrative and clerical duties.
· Collect mail and distributes appropriately.
· Provide registration and logistical support for meetings and events.
· Coordinate meetings including notices, room reservations, catering, setup, and takedown.
· Manage all rental-related inquiries, contracts, and scheduling details for the Board Room, Sky Deck, Argenta Plaza, and ATG Pavilion.
· Manage the event-related specifics for rentals and coordinate logistics with external management services (contracted with NLRT) to ensure seamless event execution.
· Attend meetings (including Advertising & Promotion Commission), records and distributes minutes, and tracks follow-up items.
· Serve as administrator and primary contact for organization-wide database platforms providing user support, managing access and security, and ensuring compliance with policies.
· Monitor, maintain, and ensure accuracy and integrity of database information; collaborates with staff and partners to correct data issues.
· Compile, analyze, and reports data related to economic impact, visitation, and tourism performance utilizing programs for that purpose.
· Use research programs to prepare and present narrative and statistical reports.
· Troubleshoot operation issues, coordinates with vendors, tracks resolutions, and minimizes downtime.
· Primary backup support at the Welcome Center, assisting visitors and answering phones.
· Assist with retail operations at the Welcome Center, including sales, cash handling, and merchandise presentation.
· Perform other duties as assigned.
Requirements:
· Proficient in Microsoft Office and CRM software. Data entry experience is required.
· Two years of college coursework or experience in related field.
· This position requires lifting and/or moving heavy objects such as boxes and room set up.
· Must have a valid driver’s license with the ability to run errands, pick up mail and supplies.
· Requires strong planning, organization, and project skills with initiative and the ability to manage multiple projects simultaneously.
