We are seeking an experienced, highly organized, and mission-driven Executive Assistant & Communications Coordinator to join our leadership team.

This is more than an administrative position. It is a trusted leadership support role requiring exceptional judgment, initiative, professionalism, and discretion. The person in this position will serve as a strategic partner to leadership, helping ensure our staff, volunteer advocates, Board of Directors, donors, and community partners receive the highest level of support while advancing the mission of CASA throughout North Idaho.
Executive & Administrative Support
· Provide executive-level administrative support to program leadership.
· Prepare professional correspondence, reports, presentations, Board packets, meeting agendas, and other organizational documents.
· Help executive leadership manage priorities, projects, deadlines, calendars, and follow-up tasks.
· Maintain confidential employee, volunteer advocate, and Board of Directors records.
· Provide administrative support for Board meetings, staff meetings, committee meetings, and organizational trainings.
· Coordinate meeting logistics, room setup, technology, refreshments, and materials for meetings and trainings.
Communications & Community Engagement
· Post social media content and maintain a consistent posting schedule to increase community awareness, recruit volunteer advocates, promote fundraising initiatives, and highlight CASA’s impact.
· Coordinate and distribute a professional monthly electronic newsletter for volunteer advocates, donors, community partners, and supporters.
· Assist with marketing initiatives and community outreach that strengthen CASA’s visibility throughout North Idaho.
Volunteer & Program Support
· Coordinate monthly volunteer advocate appreciation activities.
· Prepare training binders and materials for volunteer pre-service training and continuing education.
· Coordinate fingerprinting appointments and assist with background check preparation for prospective volunteer advocates.
· Schedule and manage the organization’s training room for internal use and approved outside organizations.
· Assist with special events, volunteer recognition activities, and training support as needed.
Office Support
· Order and maintain office and training supplies.
· Purchase and pick up gift cards and other program materials as needed.
· Maintain organized administrative systems and support efficient daily office functions.
Hours: Monday - Thursday 9:00 am - 2:00 pm
· Provide administrative assistance for special projects and organizational initiatives as assigned.
· Maintain reliable personal transportation for occasional local errands.
Pay: $28.00 per hour
