The ideal candidate will assist with proposal creation, social media marketing, event coordination, community engagements, and special projects. Working under the supervision of the Marketing Specialist, the Marketing Assistant will demonstrate initiative, organization, and creativity in executing day-to-day marketing activities. This position requires sound judgment, strong communication skills, and the ability to collaborate effectively across internal teams and with external partners.


Duties/Responsibilities:

• Assist in the preparation of Statement of Qualification (SOQ) proposals;

• Maintain marketing CRM tools and ensure accurate record-keeping;

• Support in the creation of engaging social media campaigns;

• Assist in managing and scheduling posts across various social media platforms;

• Monitor social media engagement and respond to comments, messages, and inquiries;

• Track social media analytics to assess campaign performance and suggest improvements;

• Stay updated with social media trends and implement new strategies to increase engagement;

• Assist in planning and organizing marketing events by coordinating logistics, attendee lists, and supplies;

• Support with promotions through email campaigns, social media, and website updates;

• Assist with coordinating community outreach programs and initiatives;

• Respond to feedback and inquiries in a timely and professional manner;

• Track engagement metrics and report on outcomes to improve future strategies;

• Assist with the execution of special marketing projects and campaigns;

• Provide administrative support, including research, coordination, and documentation;

• Help evaluate the effectiveness of endeavors and contribute to project post-mortem analysis for continuous improvement;

• Proofread, edit, and ensure SOQ proposals meet deadlines and quality standards;

• Enter timely and precise submission of time logs to ensure proper compensation and invoicing for client-related work;

• Provide day-to-day support to ensure smooth operations; and

• Performs other related job duties as assigned.


Knowledge, Skills, and Abilities:

• Understanding basic marketing concepts, strategies, and best practices;

• Familiarity with digital marketing trends, social media platforms, and marketing analytics;

• Using AI tools proficiently for content creation, data analysis, and automating marketing tasks.

• Knowledge of social media platforms and best practices for engagement;

• Understanding of content creation, SEO, and the importance of visual and written content;

• Familiarity with social media scheduling tools;

• Understanding of promotional events, trade shows, webinars, and their role in marketing strategy;

• Knowledge of professional writing standards for creating SOQ proposals;

• Strong verbal and written communication skills, including the ability to write clear, persuasive content;

• Skilled in presenting ideas and marketing concepts to internal teams;

• Proficient in managing social media accounts, content creation, and scheduling;

• Skilled in using graphic design tools to create visually appealing images and graphics;

• Proficient in using analytics tools to track performance and engagement metrics;

• Strong multitasking abilities and the ability to prioritize tasks effectively to meet deadlines, especially when handling multiple projects at once;

• Creative thinking when handling special projects or unique marketing opportunities;

• Familiarity with marketing software, CRM platforms, and analytical tools;

• Proficient with Microsoft Office Suite, Google Tools, and WordPress;

• Flexible approach to tasks, handling last-minute changes or adjustments with ease;

• Ability to work as part of a team, collaborating with colleagues from different departments;

• Ability to catch mistakes or inconsistencies in content, proposals, or event plans before they reach the final stage;

• Precision in data entry and reporting;

• Strong creative thinking to develop engaging content; and

• Ability to utilize the internet and email functions.


Education and Experience:

• Associate or higher degree in marketing, business administration, communications, advertising, or a related field is preferred but not necessary; and

• One (1) year professional experience, as described above; or any equivalent combination or training, education, and/or experience.


Required Licenses:

• Valid Driver’s License

All employees are required to accurately track their time spent on tasks and projects for billing and payroll purposes. This includes recording the time dedicated to specific assignments, activities, and duties as directed by the company.

NOTE: NFPS is open Mondays through Thursdays with locations in Lake City, Jacksonville, and Panama City, Florida.
