The Medical Receptionist Lead (Floater) at North Florida Pediatrics plays a pivotal role in ensuring the smooth and efficient operation of the front desk within a healthcare facility. This position is responsible for overseeing the daily activities of the reception team, managing patient flow, and maintaining a welcoming and professional environment for patients and visitors. The lead acts as a liaison between patients, medical staff, and administrative personnel to facilitate clear communication and timely service delivery. Additionally, the role involves training, mentoring, and supporting reception staff to uphold high standards of customer service and compliance with healthcare regulations. Ultimately, the Medical Receptionist Lead contributes significantly to enhancing patient satisfaction and operational efficiency within North Florida Pediatrics.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher in healthcare administration or related field preferred.
  • Minimum of 3 years experience in a medical receptionist or front desk role within a healthcare setting.
  • Proven experience in a supervisory or lead capacity is highly desirable.
  • Strong knowledge of medical terminology, insurance processes, and healthcare regulations including HIPAA.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office).

Preferred Qualifications:

  • Certification as a Medical Administrative Assistant (CMAA) or equivalent credential.
  • Experience with specific EHR platforms such as Epic, Cerner, or Meditech.
  • Additional training or coursework in customer service, leadership, or healthcare management.
  • Bilingual abilities to support diverse patient populations.
  • Familiarity with billing and coding processes in a clinical environment.

Responsibilities:

  • Supervise and coordinate the daily activities of the medical reception team to ensure efficient patient check-in and check-out processes.
  • Manage appointment scheduling, patient registration, and verification of insurance information with accuracy and attention to detail.
  • Serve as the primary point of contact for patient inquiries, addressing concerns promptly and professionally.
  • Train, mentor, and evaluate reception staff performance to maintain high standards of service and compliance with healthcare policies.
  • Collaborate with medical and administrative teams to optimize patient flow and resolve scheduling conflicts or administrative issues.
  • Maintain confidentiality and security of patient records in accordance with HIPAA and other regulatory requirements.
  • Assist in the implementation of new procedures and technologies to improve front desk operations and patient experience.

Physical Requirements:

  • Travel: Must have reliable transportation and valid driver's license to work and be able to travel if needed within the region to other offices.
  • Seeing: Must be able to see well enough to read emails, documents, reports, etc.
  • Hearing: Must be able to hear well enough to communicate with other staff, clients, vendors, etc. Must be able to hear well enough to assess blood pressure manually using a stethoscope
  • Standing/Walking: Must be able to move about the office for prolonged periods of time, including up and down stairs
  • Climbing/stooping/kneeling: Must be able to stoop or kneel to pick up items, assist parents and children in performing necessary tasks (removing shoes, stepping onto the scale, assuming the correct position for height assessment, etc.)
  • Lifting/pulling/pushing: Must be able to lift/carry up to 50 pounds
  • Touching/grasping/feeling: Must be able to type and perform technical tasks
