GENERAL DESCRIPTION:
Provides a variety of tasks in support of the Dean of Business, Education and Adjunct Faculty and Director of Manufacturing and Engineering Technology. Provides program support to college administrators, faculty, college staff, students, and outside agencies of both divisions. Serves to help greet visitors to the college and assists with providing phone coverage and support for the college's administrative office suite.
DUTIES:
- Provides administrative support to the Dean of Business, Education and Adjunct Faculty and the Director of Manufacturing and Engineering Technology.
- Assists in the preparation of the course schedule, schedule changes and enrollment tracking.
- Develops course schedule rotations for departmental programs.
- Maintains accurate records related to course and program offerings.
- Assists in scheduling and confirming meetings; serving as a recorder when needed.
- Schedules and confirms class observations and updating of full time and adjunct faculty evaluations.
- Produces documents as needed (word-processing, desktop publishing, Excel) and provides copying, filing and related duties.
- Processes forms such as purchase orders, invoices, check requests and other business office forms.
- Researches, analyzes, and summarizes data for special projects.
- Assists with committee responsibilities.
- Assists with the creation, updating and preparation of documents for approval by the Curriculum Research and Development and Academic Polices Committee (CRD/AP).
- Assists with coordination of recruiting/admissions as it applies to all students within the Business, and Education programs, in addition to Manufacturing and Engineering Technology programs.
- Posts and tracks class cancellation notices/faculty absences as needed throughout each semester.
- Communicates with existing adjunct faculty to coordinate professional development and campus activities.
- Maintains adjunct files with most updated credentials and transcript copies.
- Maintains necessary office supplies, programs, catalogs, brochures, and other related documents for distribution such as mail and communications.
- Adheres to file retention, FERPA and confidentiality standards and department organizational record retention guidelines.
- Performs other duties and responsibilities as required.
MINIMUM QUALIFICATIONS:
- Associate degree required.
- Advanced knowledge of standard office suite software, with above average competency in word processing and spreadsheets.
- Strong organizational skills and the ability to handle multiple tasks simultaneously, with strong attention to detail, time management skills and prioritization.
- Provides high quality customer service and works professionally with a variety of stakeholders including students, faculty, staff, and visitors.
- Excellent written and interpersonal communication skills with a desire to work in a team environment and promote the college in a professional and positive manner.
