Summary Description: Manages the IT procurement, inventory management, and corporate records management functions. Manages the maintenance of records and databases for licenses, warranties, and service agreements for the organization's IT hardware and software. Coordinates and manages executive meetings for IT group when needed. Monitors corporate compliance with external recordkeeping requirements and assures information is maintained to meet operating needs.


Academic and Trade Qualifications: Bachelor’s degree in Information Systems, Business Administration, Accounting, or similar discipline is preferred. Combination of training and work experience may be substituted for the educational requirements.


Work Experience: A minimum of three (3) years of experience in purchasing, asset and records management or related area. Experience with document cross-reference systems, files management, and record retention regulations preferred.


Responsibilities:

  • The position is responsible for managing IT assets, including software, software subscriptions, IT service agreements and hardware in support of the organization.
  • This position works as part of a team responsible for maintaining the integrity of the asset database and the processes and reporting required to ensure software compliance, hardware tracking and proactive identification of support renewals.
  • This role will place orders and receive and track IT assets within the asset management systems.
  • This position is also responsible for the corporate Record Retention Schedule and directs the storage and retrieval of information from off-site storage facilities.
  • This position Identifies vital records, assures information is protected, assists management in responding to document production requests, performs scanning and indexing of documents in the electronic document imaging system, and assists member cooperatives in the area of records management as requested.


Job Knowledge:

  • An understanding of software licensing and hardware maintenance agreements and a general knowledge of the information system environment is preferred.
  • Knowledge of records retention requirements to support business, legal, and engineering functions.
  • Ability to understand business needs and balance them with regulatory requirements.


Abilities and Skills:

  • Must be highly organized and self-motivated, with the ability to multi-task with the ability to meet established deadlines.
  • An attention to detail with strong analytical, assessment and problem-solving skills is a must.
  • Excellent communication and interpersonal skills are key to success in this position.


Relationships and Contacts:

  • Should build strong working relationships within IT and other business departments to ensure awareness of IT asset and records management policies and processes.
  • Position shall interact with vendors, consultants and contractors as necessary to accomplish assigned objectives.
  • Interactions with vendors at all stages of the IT asset lifecycle is a central focus of this position.



Working Conditions: Normal business hours, with limited overtime as required. Travel is very limited and normally contained within the Raleigh, NC metro area. Position may require the lifting and moving boxes with weights in the 25-pound range.
