Medical assistant for Pediatric office

Overview

The Pediatric Medical Assistant supports the clinical team by ensuring efficient patient flow, accurate clinical measurements, proper vaccine management, and high‐quality documentation. This role requires strong organizational skills, attention to detail, and the ability to work compassionately with infants, toddlers, children, adolescents, and their families.

Key Responsibilities

Clinical Intake and Patient Flow

• Greet patients and families; escort patients to exam rooms.
• Obtain and document vital signs accurately, including:
• • Height and weight
  • Head circumference for infants and toddlers
  • Temperature
  • Blood pressure for older children and adolescents
• Take a brief, focused history relevant to the visit (symptoms, duration, exposures, concerns).
• Prepare patients for clinician evaluation and assist during exams as needed.

Vaccination Management

• Maintain accurate and timely documentation of all immunizations in the patient chart and in the New York State Immunization Information System (NYSIIS).
• Prepare vaccines following clinical protocols and safety standards.
• Ensure proper storage and handling of vaccines.
• Record refrigerator and freezer temperatures twice daily (morning and evening) and report any deviations immediately.

Clinical Documentation and Administrative Duties

• Maintain organized, up‐to‐date patient records.
• Assist with chart preparation, scanning, and filing.
• Support clinicians with follow-up tasks, referrals, and patient education materials.
• Ensure exam rooms are stocked, clean, and ready for use.

Safety and Compliance

• Follow infection control procedures and pediatric safety standards.
• Comply with HIPAA regulations and confidentiality policies.
• Participate in ongoing training and quality improvement activities.

Qualifications

Required

• Completion of an accredited Medical Assistant program.
• Knowledge of basic clinical skills expected of a Medical Assistant.
• Ability to work effectively with infants, children, adolescents, and their parents.
• Strong organizational skills and attention to detail.
• Responsible, reliable, and able to work as part of a team.
• Excellent communication and interpersonal skills.

Preferred

• Experience in pediatrics or a clinical setting.
• Familiarity with NYSIIS
• Bilingual ability is a must - Spanish speaking most of the patients

Training

• Experience is desired, but we can train the right candidate in pediatric-specific workflows, vaccine protocols, and documentation systems.

Physical Requirements

• Ability to lift and position infants and toddlers safely.
• Ability to stand, walk, and move between exam rooms throughout the workday.
