Position Overview
We are seeking a Customer Service Representative / Accounts Receivable Specialist to support both our customers and our internal team. This role is ideal for someone who is friendly on the phone, detail-oriented with billing, and able to multitask in a fast-paced service environment.
Key ResponsibilitiesCustomer Service
- Answer phones, emails, and messages with a professional and friendly attitude
- Schedule HVAC and electrical service calls (assist dispatcher)
- Communicate updates to customers regarding appointments, estimates, and work in progress
- Provide basic information about services, maintenance programs, and warranties
- Document all customer interactions in our CRM/dispatching system
Accounts Receivable
- Generate and send invoices for service work, installs, and projects
- Process credit card, check, and ACH payments
- Monitor outstanding balances and follow up on past-due accounts professionally
- Assist with monthly billing cycles and reporting
Office Support
- Prepare job files and ensure paperwork is complete
- Maintain organized digital and physical records
- Assist with permits, parts tracking, and communication between field and office
- Contribute to a positive, team-focused office environment
Qualifications
- Experience in customer service or office admin (required)
- Previous accounts receivable or billing experience (preferred)
- Strong attention to detail and accuracy
- Excellent communication and phone skills
- Comfortable learning new systems and working in scheduling/CRM software
- Ability to multitask, stay organized, and remain calm in busy situations
