The role of the Parts Manager is crucial to the overall success of the Parts Department and Service Department. They work under the director of the Parts Manager and must have excellent customer and employee relations as they work in close partnership with Service Department management and contribute to leading all Parts employees in the performance of their job duties such as responding to customer and employee inquiries and resolving issues or complaints.
The Parts Manager will support the Parts Manager in administrative, inventory and personnel related tasks to maximizing revenue, profit, and growth. To do this well, a solid understanding of product knowledge and factory expectations must be learned in addition to the genuine desire to lead and develop a team.
- Inform customers of companion part requirements and specials, ensuring the customer is expose to the full product line
- Manage all incoming calls, emails and orders for wholesale part orders
- Manage and dispatch drivers for all deliveries
- Adhere to Toyota policies on parts claims and returns
- Locate out-of-stock parts from outside sources and submit emergency order if necessary
- Notify Service Advisor when special order parts are received
- Follow-up on back-ordered parts
- On a weekly basis, verify will-call and back-order files as well as vendor returns, and stock items not picked up
- Assist outside sales representatives with their orders
- Ensure all internal requests for parts are billed on service repair order
- Maintain organized records of repair orders, invoices, insurance estimates and special order parts
- Assist Parts Manager in maintaining a lost sales tracking program.
- Previous parts sales experience and the desire to continuously learn more
- Full-time availability. You’ll also need to be at least 18 years old
- A valid driver’s license and acceptable driving record
- Excellent follow up skills, frequently communicating inventory and availability of parts
- A professional appearance and work ethic
