Primary Purpose:
Responsible for providing general administrative support for the assigned office.
Principal Duties:
- Prepares a variety of memos, forms, letters, and reports on the basis of information supplied by managers. Process incoming and outgoing correspondence and reports.
- Maintains files; searches files and records for readily identifiable information, as directed; maintains reports, forms, and filing system in assigned office; maintains follow-up system on reports requiring action on a periodic basis.
- Handles telephone inquiries and other administrative duties as assigned. Responds to telephone inquiries from the public and other city departments when information requested is specifically provided and known, such as from published records, specific deliveries and procedures, and calendar of events.
- Under close direction, compiles data from varied sources and makes summary reports as required. May involve routine mathematical calculations and tabulations in accordance with established methods.
- Is expected to master preparation of simple reports so that specific instructions are not routinely required.
- May be responsible for the handling of personnel matters and other confidential information. Coordinates some office functions with ther departments.
- Arranges for meetings/ conferences and may take notes.

This position is an appointed position under the Transportation Communications Union collective bargaining agreement. The occupant of the position will receive non-agreement salary and benefits but must pay monthly union dues to the TCU. The occupant of the position will be covered by certain selected rules of the TCU agreement including Scope, Seniority, Seniority List, Filling Positions, Discipline, Leave of Absence and Union Shop Agreement.
