The Order Processing Specialist is responsible for processing a diverse array of customer orders encompassing new and renewal software orders as well as hardware and accessories. The Order Processing Specialist is responsible for processing a diverse array of customer orders encompassing new and renewal software orders as well as hardware and accessories. This role requires a detail-oriented individual with strong computer proficiency, organizational skills, and the ability to communicate effectively with other departments to compile all necessary items and documentation for digital and/or physical delivery of products and services to customers.
Key Responsibilities
- Order Verification: Use of ERP system to review incoming orders from customers and sales teams to ensure order is:
- Complete, containing all required information, contracts/documents, and approvals.
- Accurate, containing required data and formatting for automation and downstream processes.
- In compliance with company policies, including customer eligibility and verifying payment with Accounting, as needed.
- Fulfillable, with valid, in-stock part numbers.
- Order Fulfillment: Process orders using multiple computer systems and databases to:
- Perform or confirm proprietary software license generation/renewal for multiple product lines.
- Request and document third-party software licenses, special order items, and registered product warranties in coordination with Purchasing.
- Register proprietary hardware warranties.
- Create tickets and prepare documentation in performing hand-off of computers and adapters to Configuration team.
- Create tickets and prepare documentation in performing hand-off third-party software licenses to Support/Sales teams.
- Monitor order progress across a variety of same day direct as well as multi-day, multi-department fulfillment.
- Prepare packing slips, shipping labels, and customs documents for Warehouse team. Identify appropriate box size(s) based on part numbers and ship in alignment with carrier schedules.
- Data and order entry, as needed, transcribing customer information or order details across multiple computer systems and databases.
- Become familiar with company products, part numbers, and customer relationships to effectively process orders.
- Respond to questions from multiple departments related to customer orders, including request for status and shipping quotes. Assist departments to jointly resolve order issues.
- Participate in team-oriented environment that may necessitate incidental support of warehouse team through assisting with inventory counts or receiving/shipping inventory.
- Communicate daily with team members and relay any issues to management.
- All other projects and duties as assigned.
- This job operates in a professional office environment. The role routinely uses standard office equipment.
- Minimum of an associate degree or a combination of education and experience.
- Prior experience in order processing, customer service, or related field preferred.
- Strong attention to detail and accuracy while working with a sense of urgency.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and preferred experience using Oracle/NetSuite, or another ERP system.
- Excellent communication skills, both verbal and written, with the ability to interact professionally.
- Strong problem-solving skills and the ability to work independently as well as part of a team.
- Flexible and adaptable to changing priorities, workflows, and technology.
- This is largely a sedentary role in a standard office setting. However, use of a utility cart to deliver computers and shipping documents to other teams is required. Incidental support of warehouse team would involve being in a warehouse environment that is not climate controlled.
- Basic motor skills and manual dexterity for extensive computer usage are required.
- Sitting for extended periods of time is required.
- Talking, hearing and close vision abilities are required.
- Stress may occur with changing priorities, tight deadlines, and extended hours, when needed.
- Ability to occasionally lift 25 pounds.
- Participate in once daily building run rotation to transfer small packages and envelopes between two buildings, approximately five-mile round trip (with own vehicle, mileage reimbursed).
