Human Resource (HR) Coordinator

Overview

The HR Coordinator provides essential administrative and operational support to the HR Manager. This role serves as a key resource for employees and management, providing support across all HR functions including talent acquisition and training, employee relations, and organizational development initiatives, document management, benefit and leave administration, and payroll processing. The HR Coordinator should be detail oriented, discreet, and committed to delivering exceptional service in a fast-paced healthcare environment. Responsibilities

  • Assist HR Manager with daily HR department operations.
  • Maintain organized and compliant employee records in accordance with California employment law.
  • Facilitate employee full-cycle recruitment, onboarding and orientation programs to ensure smooth integration into the company culture and compliance with employment laws.
  • Ensure timely filing of new hire paperwork, performance evaluations, disciplinary records, and separation documents.
  • Assist in employee evaluation processes, performance management initiatives, and training & development programs to promote continuous growth.
  • Manage benefits administration tasks, including enrollment logistics, employee inquiries, and form processing
  • Liaise with benefit brokers and carriers to resolve eligibility and other related issues.
  • Maintain accurate benefit records and ensure timely submission of enrollment and termination forms.
  • Support employee relations by addressing workplace concerns, conflict management issues, and fostering positive communication across teams.
  • Manage HR document lifecycle including creation, version control, and retention.
  • Draft correspondence, memos, announcements, and HR-related communications on behalf of HR manager.
  • Distribute company-wide HR communications including, but not limited to, policy updates, benefit open enrollment notices, and compliance reminders.
  • Serve as a contact point for employee HR inquiries, escalating complex matters to HR manager as appropriate.
  • Assist with tracking employee relation cases, investigations, and disciplinary actions with strict confidentiality.
  • Support the coordination of employee recognition programs, wellness initiatives, and staff engagement activities.
  • Assist with the administration of leaves of absences, including FMLA, CFRA, PDL, and other state specific leave programs.
  • Assist in preparation and processing of bi-weekly payroll, ensuring accuracy and timelines.
  • Review and reconcile timesheets, flagging discrepancies to HR manager and department supervisors.
  • Process payroll changes including new hires, terminations, and compensation adjustments.
  • Maintain accurate payroll records in compliance with federal and state law.
  • Administer timekeeping system, assisting employees and managers with access, corrections, and reporting.
  • Generate timekeeping reports and support compliance with meal and rest breaks.
  • Coordinate with department supervisors to ensure accurate and complete time records prior to each payroll cycle.
  • Ensure compliance with state-specific onboarding requirements including workplace notices and wage statements.
  • Participate in weekly and monthly meetings with operations and management.
  • Maintain compliance with employment laws and regulations.
  • Remain up to date on changes in HR-related legislation.
  • Contribute to strategic planning efforts related to organization design, succession planning, and change management initiatives.
  • Perform other HR related duties and projects as assigned by the HR manager or other leadership.

Qualifications

Required

  • 0 years’ experience Master's Degree in Human Resource Management or related field; or,
  • 2 years’ experience in HR Bachelor's Degree in Human Resource Management or related field; or,
  • 4 years’ experience in HR Associate's Degree in Human Resource Management or related field; or,
  • 6 years’ experience in HR or related field.

Preferred

Certified SPHR, PHR, SHRM, or similar.

General Requirements

  • Proven experience in human resources management or related administrative roles with familiarity in human capital management systems like Paychex, Kronos, or Dayforce.
  • Strong knowledge of employment & labor law principles, OSHA standards, and workers' compensation procedures.
  • Demonstrated ability in project management, HR sourcing strategies, and utilizing ATS tools.
  • Excellent communication skills with the ability to handle confidential information discreetly and effectively manage employee relations issues.
  • Ability to manage multiple priorities efficiently while maintaining attention to detail in data collection and reporting tasks.
  • Organizational skills with experience in training & development programs, performance management processes, and organizational design strategies.
  • Proficiency in Microsoft Office
  • Ability to handle sensitive information with discretion and maintain confidentiality.

Physical/Mental Requirements

The physical requirements of this position include sitting for long periods of time, talking, listening, and operating a standard computer and keyboard. Visional requirements include close vision, distance vision, depth perception, and ability to adjust focus. This position requires the employee to work in an active, fast-paced office environment interacting with patients, staff members, and providers. This position is office based with remote capabilities available.

Position Details

  • Starting Rate: $25.00-29.00, determined by years of experience and education.
  • Pay Range: $25.00-34.00
