We participate in E-Verify (Employment Eligibility).We are hiring for Admin Assistant and Dispatcher!We are seeking a detail-oriented Admin Assistant and Dispatcher. The ideal candidate thrives by having a proactive and self-sufficient personality, helping manage daily operations and support both our field technicians and office team.EligibilityThe role of the Administrative Assistant and Dispatcher is to support the operations of the office by providing a professional, courteous atmosphere while assisting clients and employees. You will perform office and clerical tasks assigned by the Operations Manager. This will include various accounting, finance, billing, collections, and clerical duties. You will assist in Accounts Receivable/Payable operations, processing lien sale paperwork and titles, inventory, assisting clients, filing, and other duties as assigned. You will also assist in the Dispatch Office to include answering calls and dispatching them to the correct person.Responsibilities and Duties:Dispatch and coordinate daily technician schedules.Communicate with clients regarding service scheduling, updates, and invoicing.Track service tickets, compliance testing, and project deadlines.Prepare and send invoices, service proposals, and client correspondence.Maintain organized service records and assist with general administrative tasks.Directing calls to the appropriate individual.Preparing documents using Microsoft Word for processing and spreadsheet databases.Maintaining communication with customers and public in emergency and non-emergency situations.Using data entry to input information into company’s software and managing client’s information.Filing and maintaining physical documents.Keeping spreadsheets and reports up to date.Performing other clerical support tasks as needed.Your ImpactTo responsibly receive and handle emergency and non-emergency calls, monitor logs, keep records of spreadsheets and reports, address problems, and dispatch appropriate team members.Essential Skills (MUST HAVE)1–2 years of experience in dispatch, administration, or office coordination.Strong organizational skills and attention to detail.Professional written and verbal communication skills.Basic proficiency with Microsoft Office (Excel, Word, Outlook).Familiarity with dispatching or CRM systems (a plus).Attention to Detail and Active-Listening.Flexible adapting to changes.Other Physical RequirementsStoop, kneel, crouch, or crawl.Typing and wrist movements as required.Stand or sit down for extended periods.Sporadically lift to 25 lbs.Benefits and Perks6 Paid Holidays.Paid Time Off (PTO).Medical, Vision and Dental Insurance.Competitive salary.
