Job Overview
We are seeking a detail-oriented and proactive Office Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment. This position involves a variety of administrative tasks that support the daily functions of our office.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems to facilitate effective communication.
  • Perform data entry and maintain accurate filing systems for easy access to information.
  • Utilize QuickBooks for bookkeeping and financial record management.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Prepare documents and correspondence using Microsoft Office and Google Workspace.
  • Proofread materials for accuracy and clarity before distribution.
  • Maintain office supplies inventory and order as necessary.
  • Support various clerical tasks including typing, filing, and organizing documents.
  • Collaborate with team members to enhance office efficiency and workflow.

Requirements

  • Previous office experience is preferred, with a focus on administrative roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong computer literacy with the ability to learn new software quickly.
  • Excellent organizational skills with a keen attention to detail.
  • Effective phone etiquette and strong verbal communication skills.
  • Bilingual candidates are encouraged to apply for enhanced customer interaction.
  • Experience in customer service or support roles is highly valued.
  • Familiarity with QuickBooks or similar accounting software is a plus.
  • Ability to manage time effectively and prioritize tasks in a fast-paced environment.
  • Experience as a dental or medical receptionist is advantageous but not required.
