Responsibilities
- Coordinate and schedule vehicle dispatches using transportation management systems and vehicle dispatch software, ensuring timely delivery of freight while adhering to DOT (Department of Transportation) regulations.
- Communicate effectively with drivers, carriers, vendors, and clients via multi-line phone systems, maintaining clear internal communication channels.
- Monitor GPS and GIS (Geographic Information Systems) data to track vehicle locations, optimize routes, and improve transportation planning efficiency.
- Manage shipping & receiving documentation, data entry, and freight tracking to support accurate record-keeping and reporting.
- Handle customer inquiries with professionalism via phone call management, providing updates on shipments and resolving issues promptly.
- Assist in logistics analysis by reviewing transportation data to identify opportunities for process improvements within supply chain operations.
- Maintain compliance with DOT regulations and internal policies related to road transportation operations and fleet management.
Requirements
- Proven experience with transportation planning, dispatching, or logistics coordination in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with transportation management systems such as Oracle Transportation Management or similar platforms.
- Strong understanding of vehicle dispatching software, fleet management practices, and shipping & receiving procedures.
- Knowledge of GPS technology, GIS mapping tools, and road transportation operations is highly desirable.
- Excellent communication skills with the ability to manage multi-line phone systems efficiently while demonstrating phone etiquette.
- Strong organizational skills with attention to detail for data entry and documentation accuracy.
- Ability to analyze transportation data for operational improvements and problem-solving initiatives.
- Familiarity with DOT regulations governing freight transport and vehicle safety standards is a plus.
