We’re looking for a reliable, organized, and detail-oriented Business Operations Coordinator to support the day-to-day operations of an established photography business. This is a great opportunity for a recent graduate or someone early in their career who wants hands-on experience across admin, marketing coordination, and basic business operations.
This role is very execution-focused, helping keep everything moving and organized behind the scenes.
What You’ll Do
- Respond to client emails and inquiries using Gmail
- Prepare and send invoices, quotes, and contracts (using Square and Google Drive templates)
- Schedule sessions and meetings through ShootProof
- Coordinate logistics for photo shoots, including working with assistants and subcontractors
- Help manage and update CRM, projects, and social media scheduling in Zoho
- Coordinate with external vendors (social media, SEO, email marketing) to keep projects on track
- Review weekly accounting entries from CPA firm for accuracy
- Support basic financial tracking (invoices, payments, organization)
- Organize files, templates, and client information in Google Drive
- Run occasional business-related errands as needed
What We’re Looking For
- Organized and detail-oriented
- Comfortable learning and using multiple systems (Square, Zoho, ShootProof, Google Workspace)
- Strong written communication (email is a big part of this role)
- Able to manage multiple small tasks and stay on top of deadlines
- Proactive and willing to jump in where needed
- Interest in business operations, marketing, or small business
Qualifications
- Bachelor’s degree (or graduating soon), preferably in Business, Management, or Marketing
- Basic understanding of business or administrative processes
- Comfortable working with spreadsheets and basic financial information
Compensation
- $30,000 – $35,000 annually, based on experience
