Administrative and operational tasks
- Manage daily operations: Oversee and maintain the smooth running of the office by implementing and maintaining administrative systems and procedures.
- Handle correspondence: Manage incoming and outgoing mail, emails, and phone calls, and serve as a point of contact for employees and visitors.
- Manage supplies and equipment: Take inventory of office supplies, order what is needed, and coordinate the maintenance and repair of office equipment.
- Manage budgets: Handle office budgets, process invoices, and manage expenditures to ensure financial efficiency.
- Organize meetings and events: Schedule meetings and appointments, coordinate travel and accommodation, and plan company events.
- Maintain records: Develop and maintain effective filing systems and ensure records are kept up to date and secure.
Staff and HR support
- Supervise staff: Monitor and supervise the work of administrative staff, provide support, and delegate tasks.
- Handle HR functions: Assist with human resources duties such as staff recruitment, training, performance appraisals, and managing employee records.
- Onboard new employees: Organize and conduct induction programs for new hires to ensure a smooth transition.
- Support career development: Support staff with their career development and growth.
Health, safety, and compliance
- Ensure safety: Ensure that health and safety policies are up to date and that the office environment adheres to regulations.
- Maintain policies: Implement and enforce company policies and procedures to ensure adherence by all staff members.
