Position Summary:

The Personal Assistant provides direct administrative and operational support to company leadership, helping manage daily tasks, communications, and scheduling to ensure smooth business operations.
Key Responsibilities:
- Manage calendars, appointments, and meeting coordination.
- Handle emails, calls, and messages with professionalism and confidentiality.
- Assist with project coordination, task tracking, and document organization.
- Support marketing, HR, or operations activities as needed (e.g., posting jobs, tracking invoices, updating spreadsheets).
- Prepare reports, presentations, or proposals.
- Run errands or coordinate logistics as needed for business or client projects.
- Maintain organized digital files and communication records.
- Executive-focused tasks
- Calendar and schedule management: Organize and maintain complex calendars, schedule meetings, and manage appointments for the executive.
Personal and logistical tasks
- Personal errands: Run errands for the executive and their family.
- Household and personal management: Coordinate maintenance for homes or vehicles, research and supervise vendors for home projects, and manage philanthropic interests.
- Gatekeeping: Screen visitors and manage the flow of people and information to the executive.
- Research: Conduct research to support the executive in decision-making processes.
- Travel arrangements: Plan and book domestic and international travel, including flights, accommodations, and creating detailed itineraries.
- Communication management: Screen and respond to emails and phone calls, act as a liaison between the executive and others, and draft correspondence.
- Meeting coordination: Prepare agendas, take minutes, and distribute documents for meetings and board meetings.
- Document and information management: Organize and maintain files, prepare presentations, draft reports, and ensure information is handled with confidentiality.
- Expense management: Track daily expenses and prepare reports.
- Event planning: Coordinate and plan professional events, such as staff appreciation functions.
Qualifications:
- 2 years of experience in administrative or executive support.
- Excellent communication and time management skills.
- Highly organized, detail-oriented, and able to multitask.
- Proficient in Microsoft Office or Google Workspace; experience with Slack, Asana, or similar tools is a plus.
- Professional, discreet, and reliable
- Familiar with Apple products (iPhones, iPads, iMac, MacBook)
