GENERAL PURPOSE OF JOB
Responsible for providing receptionist duties and accounting and lease compliance administrative support for the departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Answer and direct incoming calls at the reception desk, and greet and assist company guests
- Act as liaison between guests and associates
- Provide parking validation for company guests
- Perform daily kitchen upkeep and replenish supplies as needed
- Maintain and update company phone directory
- Support administrative staff as needed
- Collect and processes public notices for property-related items, including identifying the property and preparing letters to notify tenants
- Assist the Accounting department with:
- Review of invoices in the AP Express system
- Provide petty cash services to associates and reconcile balances on a quarterly basis
- Serve as the “back-up” for processing the weekly check run through Oracle
- Special projects, as needed
- Provide administrative support to the Lease Compliance department, including:
- Preparation of CPI rent escalation calculations and tenant billings, as needed
- Oracle data entry of periodic rent billings
- Electronic filing and mailing of tenant property tax documents
- Mailing of monthly tenant rent reminder letters
- Processing periodic mass mailings to tenants, as needed
- Special projects, as needed
- Other duties as assigned
EDUCATION and/or EXPERIENCE
High school diploma or GED, and one years related experience; or equivalent combination of education and experience. Proficient in Microsoft Office, with Excel knowledge.
