The Practice Manager is responsible for overseeing the operational, financial, and strategic performance of NM Aesthetics | Wellness. This role serves as key leader within the organization, working closely with practice ownership and providers to ensure that daily operations run seamlessly while also driving long-term growth for the business.
The Practice Manager supports both the internal team and the external patient experience, ensuring that systems, processes, and culture all align with the Practice’s core values. The ideal candidate is highly organized, strategic, and proactive – someone who can manage day-to-day clinical operations while also identifying opportunities to elevate the Practice through business development, marketing strategy, and operational improvements.
Key Responsibilities
Practice Operations & Leadership
- Oversee daily operations of the clinic, ensuring efficiency, organization, and exceptional patient care
- Develop and implement operational policies, procedures, and workflows to improve productivity and consistency
- Maintain compliance with all federal, state, local, and internal regulatory standards
- Identify operational inefficiencies and implement systems or process improvements
- Ensure seamless coordination between clinical providers, esthetic staff, and administrative teams
- Serve as a resource and problem-solved for staff and patients when complex situations arise
Team Leadership & Development
- Hire, onboard, train, and mentor new team members
- Manage team scheduling, staffing coverage, and clinic workflow
- Support HR processes, including payroll coordination, PTO tracking, and performance management
- Conduct team meetings, performance reviews, and ongoing coaching to support staff development
- Foster a collaborative, positive workplace culture aligned with the Practice’s core values
Business Development & Practice Growth
- Identify and implement new business initiatives that support Practice growth and revenue expansion
- Partner with leadership to drive strategic growth initiatives and long-term Practice expansion
- Guide marketing strategy to strengthen brand positioning and ensure the Practice remains competitive within the aesthetics market
- Plan and execute community events, educational experiences, and brand activations that increase awareness and attract new patients
- Coordinate event logistics including venue partnerships, vendor participation, and community outreach
- Manage Nurse Megan’s national training programs, including field training inquiries, coordinating registrations, and supporting logistics for educational events offered to aesthetic providers across the country
- Work closely with pharmaceutical and device representatives to coordinate in-office trainings, lunch-and-learns, and educational sessions for the clinical team
- Maintain relationships with community partners, vendors, and referral networks
- Support the development of promotional campaigns and initiatives that drive patient engagement and retention
Strategic Projects & Practice Development
- Lead strategic initiatives that enhance the growth and positioning of the Practice
- Collaborate with marketing teams on website improvements, digital presence, and patient engagement strategies
- Analyze market trends and patient demand to identify new services, treatment offerings, or pricing opportunities
- Implement systems and workflows that improve operational efficiency and patient experience
- Assist in evaluating and launching new products, treatments, or service lines
- Manage special projects that support long-term business development and brand growth
Sales Performance & Patient Conversion
- Monitor Practice performance metrics including patient acquisition, treatment conversion rates, and revenue growth
- Support development of sales strategies that increase treatment plan acceptance and patient retention
- Assist with implementation of loyalty programs, memberships, and patient re-engagement strategies
- Track and analyze performance data to identify opportunities for growth and improvement
Patient Experience & Relationship Management
- Ensure the patient experience consistently exceeds expectations from initial inquiry through follow-up care
- Address patient concerns professionally and support staff in resolving complex situations
- Maintain strong relationships with patients to foster loyalty and long-term engagement
- Support a culture of hospitality and exceptional service throughout the Practice
Qualifications
- Bachelor’s degree required (Business, Marketing, Healthcare Administration, or related field preferred)
- Previous leadership or practice management experience in aesthetics, dermatology, plastic surgery, or related healthcare field required
- Strong organizational, communication, and leadership skills
- Experience managing teams, workflows, and operational systems
- Understanding of marketing strategy, patient acquisition, and sales performance metrics
- Ability to lead with empathy while maintaining accountability and high standards
This is a full-time position, typically scheduled Monday through Friday, though occasional evening or weekend hours may be required to support Practice events, training, or other operational needs.
