The Assistant Registrar for Service is the VA Certifying Official at NKU and oversees front-line customer service requests, the processing tasks, and supervision of 4 FT staff and 4 PT student staff. Monitors front-line customer tracking system and provides reports and adjustments.
Primary Responsibilities
- Leads the delivery of front-line Registrar services, ensuring accurate and timely processing of a wide range of student records functions, including registration transactions, enrollment updates, academic record changes, transcript and certification requests, and graduation-related documentation.
- Oversees complex and sensitive student record processes such as name/SSN changes, deceased student records, non-attendance reporting, late and missing grades, special enrollment requests, and consortium agreements, ensuring compliance with institutional policies and applicable regulations.
- Monitors and analyzes front-line service activity through the customer tracking system; develops reports and identifies trends to improve service delivery, efficiency, and student experience.
- Serves as the University’s designated VA Certifying Official, ensuring compliance with federal requirements and accurate certification of veteran and military-affiliated student benefits.
- Provides final review and approval for undergraduate graduation verification within the College of Health and Human Services.
- Supervises daily operations of the Registrar Service Center, including website content, e-forms, inbound call support, and management of shared communication channels (email, phone, and in-person services).
- Recruits, hires, trains, and supervises full-time staff and student employees; sets performance expectations and fosters a service-oriented, accountable team environment.
- Develops and implements communication and outreach strategies to improve awareness, accessibility, and understanding of Registrar services.
- Partners with campus stakeholders to resolve complex student issues and enhance service processes.
- Bachelor’s degree required; 3 years of progressively responsible experience in Registrar, student records, or related higher education operations.
- Demonstrated experience leading or coordinating operational workflows in a high-volume, service-oriented environment, with a track record of improving processes, increasing efficiency, and enhancing the student/customer experience.
- Working knowledge of FERPA and student records compliance requirements, with the ability to interpret and apply policies, maintain confidentiality, and ensure audit-ready practices.
- Experience supervising, training, or leading staff or student employees, including setting expectations, providing feedback, and supporting performance and development.
- Strong analytical and problem-solving skills, with the ability to evaluate processes, identify gaps, and implement sustainable improvements.
- Proficiency with enterprise systems (e.g., ERP/Student Information Systems) and reporting tools; ability to leverage data to inform decisions and monitor performance.
- Demonstrated ability to manage multiple priorities, navigate complex situations, and exercise sound judgment in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to clearly explain policies and procedures to diverse audiences.
