The Role
We are looking for an energetic, organized, and compassionate Front Desk Coordinator to be the welcoming face and voice of our practice. This is a vital role — you are often the first and last impression a family has of our office, and we take that seriously. Bilingual candidates (English/Spanish) are strongly preferred and will be given hiring priority, as we proudly serve a diverse patient community.
Schedule
- Tuesday: Damascus, 8am–5pm
- Wednesday: Damascus, 10am–6pm
- Thursday: Frederick, 8am–5pm
- Friday: Damascus, 8am–3pm
- One Saturday per month in Damascus: 8am–12pm
- Mondays: Frederick location or hospital, as needed
What You'll Do
Patient Reception & Experience
- Greet patients and families warmly and professionally, creating a positive first impression at every visit
- Register new patients; verify and continuously update patient demographic and insurance information
- Assist patients in completing all required forms and documentation, and ensure timely upload into the system
- Inform patients and parents of office procedures, policies, and what to expect during their visit
- Communicate effectively with Spanish-speaking families to ensure clear understanding of appointments, treatment plans, and financial arrangements
- Maintain a clean, welcoming, and professional reception area at all times
Scheduling & Patient Flow
- Schedule, confirm, and manage patient appointments across both Damascus and Frederick locations
- Move patients efficiently through appointments as scheduled to ensure on-time flow
- Confirm upcoming appointments and recalls in accordance with office protocol
- Review and prepare the daily appointment schedule; arrange patient charts for next-day appointments
- Proactively fill cancellations and no-shows to maintain a productive schedule
- Manage same-day and emergency scheduling in coordination with clinical staff
Phone & Communication Management
- Answer and manage a high volume of incoming calls with professionalism and care
- Respond promptly and accurately to requests for information from patients, parents, and providers
- Coordinate and organize referrals to medical specialists and external providers
- Update and distribute patient education materials as needed
Insurance & Billing
- Verify dental insurance eligibility and benefits prior to all appointments
- Accurately enter and maintain insurance information in OpenDental
- Prepare and send dental insurance claim forms with appropriate supporting documentation
- Reconcile insurance claims on a regular basis; follow up and resolve outstanding or denied claims
- Collect and receipt patient payments at time of service
- Inform patients of financial treatment plan options clearly and compassionately
- Arrange payment schedules with patients as needed
- Prepare and mail billing statements in a timely manner
Records & Compliance
- Maintain accurate, thorough, and up-to-date patient records in OpenDental in compliance with all privacy and security regulations
- Safeguard patient privacy and confidentiality at all times in accordance with HIPAA guidelines
- Perform end-of-day payment reconciliation and generate daily reports
Clinical Support (As Needed)
- Step in to perform dental assistant duties during staffing emergencies to ensure uninterrupted patient care
Education & Experience
- High school diploma or general education degree (GED) required
- Minimum 2 years of dental front desk and insurance coding experience required
- Working knowledge of dental terminology, procedures, and diagnosis
- Proficiency in dental practice management software — OpenDental experience strongly preferred
- Solid knowledge of general administrative and clerical procedures
- Working knowledge of dental insurance, including PPO plans and Medicaid/CHIP
- Prior experience as a dental assistant is a significant advantage
- Bilingual in English and Spanish — strongly preferred; candidates with Spanish fluency will receive hiring priority
