Business & Employment, Administrative Lead

NineLine Veteran Services
Fife, WA Full Time
POSTED ON 10/8/2026
AVAILABLE BEFORE 11/6/2026

About the Role

This position is the operational backbone of NineLine’s Business & Employment program. The Administrative Assistant is an extension of Nigel and John: present on the floor, owning day-to-day execution, and keeping Boeing, the production floor, and the warehouse moving without requiring constant supervision.

The work is hands-on and highly accountable. You will manage workforce, billing, deliveries, contractor communication, and the records that keep the operation continuous. When a subordinate role is short-staffed, you cover it. When a one-off contractor request appears, you document it so it can be billed correctly. When standards slip, you reset them.

What You Will Own

Operations & deliverables

•    Functionally manage day-to-day operations of Boeing work, the production floor, and the warehouse.

•    Supervise warehouse operations so daily, weekly, and monthly deliverables are met on time.

•    Coordinate incoming and outgoing materials; maintain accurate material records.

•    Cover subordinate roles in a pinch while still completing assigned administrative duties.

Billing, contractors & communication

•    Prepare and track invoicing so work is billed accurately and on schedule.

•    Maintain open, earnest, and honest communication with Boeing, 3M, and other contractors.

•    Document one-off and special requests so they can be billed and closed correctly.

•    Serve as a reliable point of contact by email, phone, and secondary channels with contractors, staff, and leadership.

People, labor & quality

•    Keep personnel on task; protect continuity of working standards.

•    Track labor and personnel assignments; support improvement and quality assurance with staff.

•    Coach, train, and hold the line—firm on results, fair with people.

•    Coordinate both up to leadership and down to the floor so nothing falls through the cracks.

Records & continuity

•    Navigate systems and keep records current so business operations continue if someone is out.

•    Track operational data needed for billing, workforce, materials, and reporting.

•    Flag issues, needs, and wins to leadership early; limited supervision, high communication.

•    Perform additional duties as assigned as program needs shift.

Required Experience & Qualifications

•    At least five years of demonstrated leadership experience (must be able to show it in prior roles).

•    Mixed education and work history that prepared you for operations, people, and records—not credentials alone.

•    Proven data management and record-keeping; comfort navigating operational systems.

•    Experience recording incoming and outgoing materials.

•    Experience tracking labor and managing personnel on a floor or similar environment.

•    Strong written and verbal communication; able to work with contractors, staff, and leadership.

•    Degree preferred but not required.

•    Veteran, military spouse, or mission-aligned nonprofit experience is valued; not required.

The Person This Role Needs

Present. Devoted to the work. Self-driven. Able to shift between tasks and re-prioritize as the floor demands. Flexible in approach, firm on what the position and the people need.

•    Requires limited supervision and still communicates needs, problems, and successes without being asked twice.

•    Attention to detail and a critical thinker; a high performer who finishes what they start.

•    Emotional intelligence is required—not optional. Team-oriented. Willing to train others and willing to keep learning.

•    Strong communicator who can be understanding without lowering the standard.

•    Task-oriented independent leader who adapts to change and still supports the organization, staff, and external partners.

•    Ready to step into a subordinate role when the operation needs it, then return to the broader job.

How We Will Evaluate Candidates

•    Evidence of five-plus years leading people, not only holding a title.

•    Examples of billing, contractor, warehouse, or production-floor accountability.

•    How you keep records, so operations do not depend on one person’s memory.

•    How you handle a one-off request, a missed deliverable, and a staff performance issue.

•    Presence, judgment, and whether you can be trusted as an extension of current program leadership.

Company Description

Our name comes from the military nine-line medevac call, the lifeline used when someone is in trouble. That is the standard we work to. No one who served should have to face housing instability, unemployment, benefits confusion, or isolation alone.

What we do

We provide practical, peer-led support, including transitional housing, case management, employment and job-readiness assistance, peer support, wellness and community connection, emergency aid, and outreach that links people to VA care, benefits, and local resources. Much of this work is non-clinical and community-based. We meet people where they are, then walk with them toward stability.

Our team is led by veterans and built around people who understand the culture, the transition, and the stakes. We partner with the U.S. Department of Veterans Affairs, the Washington State Department of Veterans Affairs, local Continuums of Care, employers, and community organizations. Programs include Staff Sergeant Parker Gordon Fox Suicide Prevention Grant work across western Washington counties.

How we work

We combine evidence-based practice with a human-first approach. Barriers get named plainly. Plans are built around what someone needs now and what will still matter six months from now. The motto is simple: Service to Others.

Who thrives here

People who want meaningful work, can hold both urgency and compassion, and are comfortable in a small, mission-driven team. Roles often involve direct service, coordination with VA and community partners, housing and employment support, outreach, and operations that keep programs running. Veterans, military spouses, and people with lived experience in housing, behavioral health, or social services are strongly encouraged to apply. Civilian applicants who respect military culture and can earn trust quickly are welcome.
