HR Manager

Part-time: 15-20 hours/week

Pay range: $32-$36/hour depending on experience

Nine Lives Foundation is a 501(c)(3) non-profit organization based in Redwood City, California, that rescues at-risk cats and kittens, provides them with medical care, and finds them loving homes. We also provide low-cost spay/neuter clinic and vaccines clinic services for rescuers, rescue groups, and the community. Nine Lives is seeking an experienced HR professional to support the Executive Director in various aspects of HR management and administration. Our team constitutes approximately 25 staff and contractors, including part-time and relief employees. We use Gusto as our HR/payroll platform, time off and time card reporting.

Key Responsibilities:

Recruitment, Onboarding & Offboarding:

  • Develop and manage hiring processes to ensure equity, efficiency, and effectiveness
  • Write and post job descriptions, screen applicants, and facilitate interviews
  • Oversee onboarding processes to support new hires in acclimating to their roles
  • Terminations and exit interviews

Employee Relations:

  • Manage conflict resolution, grievance processes, and disciplinary actions
  • Serve as a confidential resource for employee concerns and feedback
  • Performance improvement plans and supporting leadership team with performance coaching
  • Audit time cards and give feedback to staff when appropriate

Compliance & Policy Management:

  • Develop and maintain HR policies, training, labor law posters, and handbooks in line with federal and state regulations
  • Ensure compliance with labor laws, safety standards, and organizational policies
  • Ongoing review of policies and procedures to ensure compliance with legislation and best practices

Training & Development:

  • Organize training programs for staff and volunteers, including safety, skills development, and inclusion initiatives
  • Ensure staff complete required training on schedule
  • Support professional growth opportunities
  • Diagnose and assess professional skill opportunities to continue to foster a healthy, respectful workplace culture

Payroll & Benefits Coordination:

  • Assist with payroll administration
  • Manage benefits administration
  • Audit benefits costs and billing
  • Review benefits providers on an ongoing basis to ensure we are getting competitive benefits and rates
  • Ensure timely and accurate processing of compensation and benefits enrollments

Talent & Performance Management:

  • Facilitate the annual focal performance and compensation review process as well as any off-cycle compensation reviews and adjustments
  • Support goal setting and professional development plans for staff

Process and Technology Improvements

  • Recommend and implement changes to HR-related processes and supporting technology tools in order to streamline operations and improve efficiencies

Required Qualifications / Experience:

  • 5 years of HR experience, preferably in the nonprofit or animal welfare sector.
  • Knowledge of HR best practices, employment law, and compliance requirements.
  • Strong interpersonal and communication skills, with a passion for fostering a positive workplace.
  • Ability to work independently and collaboratively in a mission-driven environment.
  • Experience with HR software and tools (e.g. Gusto) is a plus.
  • Must be able to commute to Redwood City. Work will be primarily in-person at our Cat Adoptions and Medical Clinic, with the option for some remote work
  • Passion for animal welfare and alignment with the Nine Lives Foundation mission. Must love cats!
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

Work Schedule:

We anticipate 15-20 hours/week on average, which may fluctuate based on need. Actual timing of work is flexible; we expect to mutually define agreeable onsite "office hours" when the HR Manager is available to meet with staff, as well as attendance at monthly staff meetings and weekly leadership calls. However, much of the hands-on work can be done remotely on a schedule that works for the individual.
