Nimbl Vehicles is a high-endurance specialty vehicle outfitter Grass Valley, CA, specializing in service, repair, install, and fabrication for overland adventure and emergency response vehicles.
We're looking for a front office manager to take care of customer communications, scheduling, office organization, and ongoing marketing efforts.
This role acts as a friendly, enthusiastic, and professional point of contact for our customers, while tracking and guiding projects from initial inquiry to pickup and payment.
What we do:
- Deliver high-quality technical support for existing overland vehicles.
- Service and install Webasto and Eberspächer fuel-operated heaters.
- Install field-ready plumbing, power systems, and solar charging capability.
- Provide ongoing support for Nimbl Evolution expedition truck campers.
- Outfit incident command vans, compact mobile command vans, emergency response trucks, and patrol vehicles.
- Custom aluminum fabrication.
- Assorted troubleshooting and repair.
Our work varies considerably between projects, and incorporates a wide range of technical disciplines, including wiring, plumbing, carpentry, and aluminum fabrication. Because we do custom work for specialized vehicles, we are often learning and designing as we go.
It's what sets us apart as a shop, and one of the primary challenges we face as a team, so above all we're looking for someone ready to receive and track a wide variety of customer inquiries.
Necessary Skills and Experience:
- High school diploma, GED, or equivalent work experience.
- Highly proficient at writing and communication.
- Ability to work without AI assistance.
- Proficient with phone, text, and email communication.
- Experience with videoconferencing software (zoom, microsoft teams)
- Basic understanding of sales and marketing.
- Comfortable with teamwork and leadership.
- Willing to learn on the fly, and ask for help if needed.
- Ability to organize, take notes, and communicate effectively.
We'd Love to See:
- Automotive experience or interest.
- Emergency response experience or interest.
- Knowledge of Quickbooks and finances.
- Photography and/or videography experience.
- Sales and/or marketing experience.
- Reception and/or administrative experience.
- Extensive customer service experience.
- Artistic training, experience, or interest.
Core Responsibilities:
- Receive calls, emails, work requests, and visitors to the shop. Respond to (and generally decline) cold calls.
- Collect information on customer requests and input into shop management software.
- Coordinate with our team to provide customers with ongoing updates and information.
- Schedule appointments for service and consultation.
- Arrange and conduct meetings with interested emergency response and public safety agencies to gather information about projects and clarify the capabilities of the shop.
- Track and follow up on customer leads.
- Maintain communication with customers, and provide updates when available.
- Coordinate with other team members to move work requests forward, through the estimate, approval, scheduling, service, and invoicing processes.
- Keep an eye on online presence and analytics.
- Track, tag, and update request information in shop management software.
- Develop, direct, and execute brand, marketing, and sales strategy to improve customer experience and business outcomes.
- Provide customers with merch, and make restocking orders if needed.
- Help maintain a safe, clean, and effective shop environment.
- Document current work via photo and/or video for our website and social media.
- Research and pursue local marketing opportunities to increase visibility in the surrounding area.
Additional Responsibilities:
- Attend trade shows as needed and engage with the public to connect, gather research, and develop leads. (Infrequent.)
- Maintain social media presence on sustainable range of platforms (facebook, instagram, tiktok, etc). Create and post simple, authentic content when possible or effective. (Relatively low priority.)
