What are the responsibilities and job description for the Phlebotomy Supervisor/Site Coordinator - Indiana position at NICL Laboratories?

The Phlebotomy Supervisor/Site Coordinator:
will assist the Manager of Phlebotomy in management tasks, phlebotomy oversight, and improvement within the respective phlebotomy department(s). Specifically, some of the responsibilities will include:
- Collaborate with the management team on strategic projects that help organize and monitor phlebotomy labor for better compliance and client service
- Support the Phlebotomy Manager in achieving schedule compliance by the phlebotomy supervisor with regions under their management. Phlebotomy Schedule compliance to monitor:
o Weekly schedules are accurate and adjust for any PTO, etc.
o Include coverage for morning draw 7 days a week,
o List of all regions’ current facilities (list updated regularly to reflect frequent client additions/changes/losses)
o Published in the dispatch system, Phlebio by 2pm Friday
- Support the Phlebotomy Manager in achieving training and client issues resolution and documentation requirements for QA compliance
- Support Phlebotomy Manager in monitoring compliance on company safety and QA policies, working with other supervisors or working independently to write up individuals out of compliance.
- Participating in relevant Task Force meetings related to phlebotomy to help problem solve (for example, participate in the corporate scheduling task force to improve supervisors scheduling compliance and excellent turnaround times)
- Attendance and participation in Phlebotomy Supervisor meetings monthly, or whatever cadence is set by Quality Manager
The direct phlebotomy supervisor/Site Coordinator of Indiana will be responsible for:
- Setting regular, organized and efficient staff schedules to meet client order demands for the area, and publish in advance in the Phlebio system
- Manage labor resources in this region and stay within set payroll target total dollars and hours for the department
- Monitor policy compliance and approvals of all employees within the assigned region to ensure compliance, particularly important is compliance recording hours via punching in and out in real time, for themselves in our HR software system, Paycom.
- Monitoring of all phlebotomy employees within assigned region, and technical quality performance compliance, proper systems use and job completion, among other quality indicators
- Regular communication of drawing status and progress during morning draw shifts to communicate any delays, needs or circumstances impacting or delaying timely arrival of specimen for courier and on-time results delivery
- Hire staff as needed, train all phlebotomists and retain as needed when issues arise
- Troubleshoot client issues with client response, customer service and personnel to resolve harmoniously and complete documentation of issue resolution with employees
- Fill-in with patient draws as needed or pick up specimen where TAT is in jeopardy
- Apply monitoring of staff performance and ensure performance is quality and to the NICL standard, managing disciplinary action alongside Phlebotomy Managers as needed
- Approval of mileage and proper recording procedures for all employees in region and timely submission of all documentation each month to HR
