What are the responsibilities and job description for the Dispatcher/ Parts Ordering position at Nichols Mechanical LLC?
Key Responsibilities:
Dispatching & Scheduling
- Coordinate and schedule service calls for HVAC, plumbing, and electrical technicians
- Monitor technician routes to maximize efficiency and response times
- Communicate job details, updates, and changes to field staff in real time
- Prioritize emergency and same-day service requests
- Maintain accurate scheduling records in dispatch software
Parts Ordering & Inventory
- Order parts, equipment, and materials from approved vendors
- Track orders, backorders, and delivery timelines
- Verify parts received match purchase orders and job requirements
- Maintain organized inventory and restock commonly used items
- Coordinate parts delivery or pickup for technicians
Customer & Team Communication
- Serve as a point of contact for customers regarding appointment updates
- Communicate delays, rescheduling, and job status professionally
- Work closely with service managers and technicians to ensure job completion
- Resolve scheduling or parts-related issues proactively
Administrative Duties
- Maintain accurate job notes, invoices, and documentation
- Assist with job costing by tracking parts and labor coordination
- Ensure all work orders are properly assigned and closed out
- Support office operations as needed
Qualifications:
- Previous dispatching or coordination experience (trade industry preferred)
- Knowledge of HVAC, plumbing, or electrical parts and terminology is a strong plus
- Strong organizational and multitasking skills
- Excellent communication and customer service abilities
- Proficiency in dispatch software and Microsoft Office (or similar systems)
- Ability to work under pressure and adapt to changing priorities
Preferred Skills:
- Experience with ServiceTitan or similar field service software
- Familiarity with local vendors and supply houses
- Problem-solving mindset with strong attention to detail
Pay: $18.00 - $20.00 per hour
