The Role

We’re looking for an Operations Manager to ensure our business and projects run smoothly as we grow in the government contracting arena. This is a broad, hands-on management role that touches many aspects of our company’s operations. You will oversee the execution of our projects (making sure we meet deliverables, stay on budget, and keep our customers happy), while also working to improve internal processes and support strategic initiatives. One day you might be updating a project plan and coordinating a customer demo; the next day you could be handling contract paperwork or refining our onboarding process for new hires.

This role requires someone who has been in the trenches of government contracting. You should understand how small DoD-focused businesses operate and be ready to tackle everything from project management to client communications. You’ll work closely with the CEO on business strategy and with every team member to remove roadblocks and drive success. If you have a background in program or project management, enjoy wearing multiple hats, and pride yourself on getting things done, this role will fit you well. (Active experience with U.S. government contracts is highly preferred, and a security clearance (or eligibility) will be a plus.)

Responsibilities

Program & Project Management

  • Oversee the planning and execution of NGS’s projects and contracts, ensuring all deliverables are completed on time, within budget, and to a high-quality standard.
  • Track project milestones and performance metrics; proactively identify and mitigate risks or issues that could impact success.
  • Support project leads (and act as a project manager when needed) by coordinating schedules, resources, and priorities across multiple ongoing projects.

Business Operations & Process Improvement

  • Develop and refine internal processes to streamline operations – for example, improving how we track project progress, report status, manage documentation, and onboard new team members.
  • Ensure the company remains compliant with government contracting requirements and industry standards (e.g. overseeing security procedures, contract reporting, record-keeping for audits).
  • Assist with budget planning and financial tracking for projects. Work with our accounting/finance support to monitor project costs vs. budgets and inform leadership of any variances.

Customer & Partner Coordination

  • Serve as a primary point of contact for customers on operational matters: communicate project status, handle customer requests or concerns, and build strong relationships through regular engagement.
  • Coordinate with any external partners or subcontractors to ensure they are on track and that their work aligns with project requirements.
  • Work closely with the Business Development team during contract transitions – once a new project is won, help integrate it into our operations and set it up for success. Also, help identify opportunities for follow-on work or new projects with existing clients through excellent service delivery.

Team Support & Leadership

  • Foster a productive, organized work environment for the team. Help the team prioritize tasks, remove impediments, and ensure our developers and analysts have what they need to do their jobs effectively.
  • Mentor and guide team members in best practices for project execution, time management, and client interaction. Lead by example in professionalism, organization, and problem-solving.
  • Contribute to strategic planning and decision-making as a member of the company’s leadership team. Provide input on company direction, hiring, and growth from an operations perspective.

Ideal Experience (We’re looking for someone who…)

  • Has 8 years of experience in operations, program management, or project management roles, with a significant portion of that in a government contracting or DoD-focused environment.
  • Understands government contract processes and compliance – familiar with the full contract lifecycle from proposal and award to execution and close-out, as well as relevant regulations (FAR, etc.).
  • Demonstrated success managing multiple projects or programs simultaneously, ideally within a small business or other fast-paced, dynamic environment.
  • Excellent organizational and problem-solving skills – able to juggle big-picture planning with detail-oriented tasks. You can create order and process even when things are moving quickly.
  • Strong communication skills, both written and verbal. Comfortable interfacing with clients (including military or government stakeholders) to provide updates and resolve issues, and adept at collaborating with technical staff internally.
  • Familiarity with project management methodologies and tools (e.g. agile/scrum processes, project scheduling software) is a plus. You know how to run a meeting, manage a Trello/Jira board or Gantt chart, and keep a team on track.
  • Proactive, hands-on approach to problem solving – you’re not above rolling up your sleeves to fix a scheduling issue, update a spreadsheet, or write a quick process document.
  • Bachelor’s degree in business, engineering, management or a related field (or equivalent experience). PMP certification or an MBA is a bonus, but not required.
  • U.S. citizenship is required. Ability to obtain a security clearance (Secret or above) is preferred; an active clearance is a plus.
